The Senior Operations Manager will build the operational backbone of The Modi Law Firm, serving as the founder’s execution-focused counterpart by turning vision into systems, dashboards, SOPs, automation, accountability rhythms, and scalable processes. This is not an administrator, executive assistant, or traditional office manager role; it is a high-impact operations role focused on improving efficiency, strengthening team alignment, supporting scalable growth, and helping the firm deliver high-quality, life-changing legal services with consistency and integrity. The role owns operational execution and accountability, while hiring/firing decisions, attorney management, legal work, and independent financial spending authority remain with the founder.

 

Responsibilities

  • Build Operational Framework: Develop firm-wide dashboards to track ROI, revenue, margins, and intake conversion.
  • Standardize Procedures: Define, document, and implement SOPs for workflows including intake, billing, and client communication.
  • Establish KPIs: Create KPI frameworks, reporting rhythms, and accountability processes that help the founder and team monitor performance, identify issues early, and improve execution.
  • Systems Integration: Improve how Lawmatics, Docketwise, QuickBooks, LawPay, and other tools communicate with one another. Build cleaner workflows, improve data visibility, reduce manual handoffs, and ensure systems support better decision-making across intake, billing, case management, and reporting.
  • AI & Automation: Use tools such as Claude, Zapier-style integrations, CRM automations, and workflow automation to increase team capacity, reduce manual work, improve consistency, and support high-quality legal work without compromising client service.
  • Optimize Intake: Design and manage a 24/7 reception solution to minimize missed calls and tighten SLAs.
  • Lead Change Management: Drive early projects for operational wins and train the team on new systems and processes.
  • Ensure Data Accuracy: Establish data standards and ensure timely inputs for strategic decision-making.
  • Operational Accountability: Monitor deadlines, KPIs, workflows, and project progress. Follow up with team members, surface issues early, and escalate performance or resource concerns to the founder when needed.
  • Experience in Operations: Proven experience in operations within SMBs; law firm background preferred.
  • CRM and Process Expertise: Hands-on CRM ownership and process build-out, preferably with Lawmatics.
  • Tech and Automation Skills: Familiarity with AI tools and integrations like Zapier to enhance firm efficiency.
  • Data and Reporting Skills: Competence in creating and managing analytics dashboards for performance tracking.
  • Strong Project Management: Ability to plan and execute projects in a dynamic environment with high follow-through.
  • Communication Skills: Excellent clarity in communication, setting expectations, and maintaining accountability.
  • Values Alignment: Mission-driven and quality-obsessed, with a humble, low-ego approach.
  • Education: Bachelor's degree required; additional certifications are a plus.

What We Offer

Compensation: $75,000–$85,000 base salary, with bonus potential based on performance and milestones.
Health Insurance: Health insurance plan available.
Paid Time Off: Two weeks of PTO.
Holidays: Federal holidays observed.
Schedule: 8:30 AM–5:30 PM, with a 1-hour lunch break.
Location: Preferred candidate will be based in Dallas-Fort Worth. Initial onboarding may take place in Houston for approximately two weeks.
Work Arrangement: Remote initially while the Dallas-Fort Worth office is being launched, with the expectation of transitioning to primarily onsite once the office is established.
Travel: Occasional travel to Houston may be required, likely every couple of months.
Growth Path: Opportunity to grow from Senior Operations Manager into Director of Operations or potential COO-level responsibilities as the firm scales.
