The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.
KEY RESPONSIBILITIES:
- Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
- Conducts research and gathers information to develop various publications.
- Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
- Assists in developing and coordinating program-related conferences, conventions, or meetings.
- Monitors expenditures and may participate in the budget planning process and prepare financial reports.
- May assist in identifying funding resources and developing fund-raising strategies and initiatives.
- Prepares operational and statistical reports.
- Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
- Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
- Bachelor's degree in a field related to the program.
- Two years of related experience, or an equivalent combination of education, training and experience.
ADDITIONAL JOB DETAILS:
- This position will provide operational and administrative coordination for a multi-work package research project under the direction of the Principal Investigator.
- The project includes external consultants and contractors, scientific collaborators, international field activities, equipment procurement and shipment, and development of project data products.
- A primary responsibility of the position will be maintaining a forward-looking project workplan and administrative calendar and anticipating the administrative steps, dependencies, and lead times required to keep project activities on schedule.
- The coordinator will identify upcoming requirements, initiate appropriate administrative processes, follow up on outstanding actions, and flag decisions, approvals, information, or other PI actions needed sufficiently in advance of projectdeadlines.
- Near-term priorities include coordinating and following through on consultant and contractor agreements; tracking required documentation, approvals, and payments; coordinating with relevant Emory administrative offices; and supporting procurement, shipping, and import/export processes associated with international project activities.
- The Coordinator will identify applicable institutional requirements and forms, assemble required information, prepare or draft documentation for review and finalization, and track processes through completion.
- The position will also maintain project schedules, deliverables and action trackers; coordinate meetings and follow up; maintain project records and documentation; support travel and project logistics; monitor outstanding administrative actions; and provide administrative coordination for project activities as priorities arise.
- The PI retains responsibility for scientific and strategic direction, substantive project decisions, approval of expenditures and deliverables, and management of scientific collaborations.
- Prior experience navigating Emory University administrative systems and processes is strongly preferred, particularly experience with contracting, procurement, payments, research administration, international shipping/import-export processes, and coordination across University administrative offices.
- The position requires excellent organization and follow through, attention to detail, sound judgment about when matters require escalation, and demonstrated ability to anticipate administrative requirements and work proactively within established deadlines.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
