Position Summary: The Senior Medical Affairs Strategy & Operations Specialist serves as a key operational partner to the Chief Medical Affairs Officer, providing administrative, project management, and strategic execution support across the Medical Affairs division. This role is responsible for coordinating departmental operations, governance activities, strategic initiatives, and physician leadership support while ensuring accountability for organizational priorities and key deliverables.
Working closely with the Chief Medical Affairs Officer, physician leaders, the Sr. Director of Process & Workflow Optimization, and cross-functional stakeholders, this position supports operational excellence through project coordination, process improvement, governance management, workflow adoption, performance reporting, and organizational alignment. The Manager plays a critical role in facilitating leadership meetings, maintaining physician schedules, tracking strategic initiatives, preparing executive-level communications, and ensuring timely follow-through on organizational commitments.

Essential Position Functions/Responsibilities:
- Coordinate execution of Medical Affairs strategic initiatives and departmental priorities.
- Maintain project plans, implementation timelines, milestones, deliverables, and accountability trackers.
- Monitor progress, identify risks and barriers, and provide routine status updates to leadership.
- Coordinate workgroups, implementation activities, and cross-functional initiatives supporting organizational goals.
- Ensure action items and assigned responsibilities are completed within established timelines.
- Prepare executive presentations, reports, dashboards, and project summaries.
- Support implementation of Medical Affairs process improvement initiatives focused on operational efficiency, workflow standardization, and organizational effectiveness.
- Assist with workflow analysis, process mapping, operational assessments, and future-state process design.
- Identify workflow gaps, operational barriers, and opportunities for improvement.
- Support communication, training, and adoption of new workflows, procedures, and operational enhancements.
- Monitor implementation progress and adoption of workflow and process changes.
- Support initiatives aligned with quality improvement, affordability, population health, utilization management, and value-based care objectives.
- Coordinate Medical Affairs leadership meetings, committees, workgroups, and governance activities.
- Develop agendas, presentations, briefing materials, meeting minutes, and action-item tracking.
- Maintain governance calendars, committee schedules, and recurring meeting structures.
- Support preparation for Board meetings, executive leadership meetings, audits, and regulatory reviews.
- Facilitate communication, follow-up, and accountability resulting from leadership discussions and committee decisions.
- Maintain centralized tracking of departmental priorities, initiatives, and assignments.
- Coordinate physician leadership schedules, administrative activities, and organizational participation.
- Develop and maintain Medical Director on-call schedules, holiday coverage schedules, and physician assignments.
- Support scheduling and logistics for leadership meetings, physician workgroups, and operational committees.
- Maintain Medical Affairs calendars and governance schedules.
- Assist with onboarding and orientation activities for physician leaders and Medical Directors.
- Maintain departmental dashboards, scorecards, and performance tracking tools.
- Support monitoring of operational, quality, affordability, utilization management, population health, and value-based care metrics.
- Prepare recurring operational reports, executive summaries, and leadership presentations.
- Track progress toward departmental goals, objectives, and key performance indicators.
- Assist leadership in identifying opportunities to improve operational performance and organizational effectiveness.
- Maintain Medical Affairs documentation, including workflows, SOPs, operational guides, committee charters, policies, and governance materials.
- Manage document repositories, version control processes, and documentation libraries.
- Coordinate document review cycles, approvals, updates, and archival activities.
- Ensure documentation remains current, standardized, accessible, and aligned with organizational requirements.
- Support consistency in reporting templates, meeting materials, operational documentation, and governance processes.
- Promote compliance with established documentation management and operational governance standards.
- Collaborate with Medical Affairs leaders, physicians, and operational departments to support organizational priorities.
- Facilitate communication among Utilization Management, Care Management, Quality, Risk Adjustment, Population Health, Pharmacy, and other key stakeholders.
- Support cross-functional workgroups, committees, and strategic initiatives.
- Promote accountability, transparency, collaboration, and operational excellence across Medical Affairs functions.
- Participates in special projects, process improvement initiatives, and departmental activities as assigned.
Qualification Requirements:
Skills, Knowledge, Abilities
- Strong organizational, project management, and operational coordination skills with the ability to manage multiple priorities simultaneously.
- Demonstrated experience coordinating strategic initiatives, action plans, deliverables, and implementation activities across cross-functional teams.
- Excellent meeting management, governance coordination, and follow-through skills.
- Strong written and verbal communication skills, including the ability to prepare executive-level reports, presentations, dashboards, and meeting materials.
- Strong analytical, problem-solving, and critical-thinking abilities.
- Ability to build collaborative relationships with executive leaders, physicians, operational leaders, and cross-functional stakeholders.
- Knowledge of healthcare operations, managed care, population health, value-based care, utilization management, care management, quality improvement, and risk adjustment principles.
- Experience supporting process improvement, workflow optimization, change management, and operational excellence initiatives.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive organizational information.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).
- Experience with project management, reporting, collaboration, and workflow management tools preferred.
Training/Education:
- Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Nursing, or a related field required.
- Master's degree preferred.
- 3–5 years of experience in healthcare operations, managed care, health plan administration, IPA/MSO operations, population health, clinical administration, project management, or healthcare leadership support required.
- Experience supporting executive leadership, physician leaders, or clinical operations preferred.
- Experience coordinating strategic initiatives, governance activities, committee operations, and cross-functional projects preferred.
- Experience with utilization management, care management, quality improvement, risk adjustment, population health, or value-based care programs preferred.
- Experience developing and maintaining operational documentation, SOPs, workflow maps, and implementation materials within a healthcare environment preferred.
