This is an exciting opportunity to join the Marshall White Projects team as a Sales Administrator, supporting the delivery of premium off-the-plan residential developments across Melbourne. You’ll play a key role in keeping campaigns, listings, contracts and client communication running smoothly, while working alongside a highly respected and collaborative team.

About the role
As Sales Administrator, you will provide high-level support to the Projects team and directors, managing the day-to-day coordination of sales campaigns with accuracy, initiative and exceptional attention to detail.
Your responsibilities will include:
- Database management including stocklists, purchaser records and contact entry and tracking.
- Quality assurance of all sales files and contract collateral.
- Researching comparable sales and land information as required.
- Processing and managing contracts – entering sales into Box & Dice, creating sold files, preparing contracts for signing (tabbing pages, entering purchaser information), and managing purchaser lists including mailing of hard copy contracts.
- Managing agents’ appointments – sending email blasts and project information, and calling to confirm appointments.
- Loading CCT ads upon new project launch and updating project profiles and online listings across portals.
- Sending texts and preparing EDMs and campaign materials as required.
- Providing reports every Monday/Tuesday or as required, including pricing tables and development summaries.
- Liaising with vendors, project managers, legal representatives and purchasers to provide end-to-end client service.
- Maintenance of meeting rooms, stock checks and upkeep of team supplies.
- General administrative support for all Projects agents and directors, including ad-hoc tasks as required.
- Attending team and company meetings and training sessions as required.
- Adhering to all company policies and procedures.
About you
You are a highly organised administrator who thrives in a fast-paced environment and enjoys being part of a close-knit, high-performing team. You bring a polished, friendly and professional approach, along with the confidence to manage competing priorities and deadlines.
To succeed in this role, you will ideally have:
- Previous experience in a busy administration or sales support role, ideally in real estate, property or campaign administration.
- Strong customer service and communication skills, with emails and enquiries completed within 24 hours and voicemails responded to promptly.
- First-class attention to detail and accuracy in data entry and document preparation.
- Advanced Microsoft Office skills and confidence working with databases (45WPM+ typing).
- A proactive, can-do attitude with the ability to work calmly and with urgency under pressure.
- Strong time management and organisational skills, with the ability to prioritise and manage competing workloads.
- Excellent presentation and appearance at all times, in line with Marshall White standards.
- A genuine team focus, willingness to support others, and the initiative to anticipate what’s needed before being asked.
- A current driver’s licence for the purpose of sales-related activities (e.g. delivery of gifts, reports, meeting suppliers at properties).
