The Operations Specialist provides the daily, ongoing operational support for the Insurance Solutions division of Wealth Solutions, including day-to-day operations, new request management and tracking. The Specialist role will be a key member of the team and will ensure smooth implementation of new procedures and processes. The ideal candidate will be organized, have outstanding attention to detail, have excellent computer proficiency and be a great communicator. The person in this role will be a liaison between various business units and our client service units. We are looking for someone with a passion for client service, processes, and best practices.
- Actively involved in the overall day-to-day operational responsibilities of tracking, reporting, and updating requests in case management systems; ensuring systems and processes are in place and are followed
- Monitor and manage service requests in a centralized queue, ensuring timely resolution and escalation when needed
- Partner with Wealth Management Teams to support client service delivery through accurate execution
- Support the ongoing operational initiatives of the team, collaborating and coordinating with other departments and vendors as necessary
- Assist in documenting and refining standard operating procedures (SOPs), assuring accuracy and conveying procedural changes to team members
- Supports department leadership with day-to-day operations/workflow and ensure daily service standards
- Scanning and mailing documents as needed
- Building and fostering effective working relationships with internal and external business partners
- Working independently and with a team, prioritizing and managing several projects, and succeeding in a fast-paced environment
- Other duties as needed
- Bachelor's degree or equivalent experience preferred
- Financial services industry and/or insurance industry experience strongly preferred
- At least 2 years of operational experience. Insurance operations related experience preferred
- Superior organization skill - highly detailed-oriented, strong multi-tasker, excellent follow through, meticulous
- Proficiency with MS office suite
- An unwavering commitment to support Wealth Advisors and the sales process
- Excellent verbal and written communication, interpersonal, and relationship management skills
- Versed in managing internal and external information flows and storage
- Client first attitude including a passion for providing an excellent client experience
- Team player, collaborative and able to work in concert with others
