Under the direction of the MHN Payroll Manager or authorized designee, the Payroll IS Coordinator is responsible for supporting the accurate and timely processing of payroll, maintaining payroll, tax and deduction records, and coordinating activities related to the Payroll Information System.
This position works closely with Payroll, Human Resources, Information Systems, Accounting, Accounts Payable and other departments to ensure payroll information is accurate, systems are functioning properly, and employees are paid correctly and on time.
Responsibilities
~2 min read- →Review and correct interface exceptions within the electronic timekeeping system.
- →Prepare reports from the timekeeping system to support Accounting and payroll-related functions.
- →Serve as a primary liaison with Information Systems for testing interface changes, system modifications, updates and upgrades.
- →Review bi-weekly time records to ensure hours are properly reported and coded for accurate payroll processing.
- →Verify vacation, holiday and sick time reported on time records against employee accruals and applicable MHN policies.
- →Reconcile time reported on bi-weekly time records with payroll data imported into the payroll system.
- →Process bi-weekly payroll calculations, including regular hours, overtime, shift differentials and other applicable pay components.
- →Transmit positive pay files to the bank for payroll processing.
- →Prepare manual payroll correction checks as needed.
- →Prepare payroll recaps and documentation for Accounts Payable check requests related to deductions and other payments.
- →Verify employee information entered by Human Resources, including timely entry of new hires to support accurate and timely payroll.
- →Coordinate testing of payroll system updates and upgrades with Information Systems and other integrated departments, including Human Resources and Accounts Payable.
- →Maintain and update testing procedures and documentation as needed.
- →Reconcile invoices related to various non-mandatory employee benefit programs.
- →Complete authorized external employment and compensation inquiries, including requests from lenders and government agencies.
- →Maintain employee payroll deduction schedules and process manual payroll deductions and deductions imported from external systems.
- →Coordinate updates to payroll systems, pay codes and deductions to ensure information remains accurate and consistent across systems.
- →Review quarterly and annual wage and tax registers and work with ADP to identify and correct discrepancies affecting tax reporting and W-2 filings.
- →Maintain knowledge of MHN policies and procedures that affect payroll processing.
- →Explain payroll and related policies and procedures to employees as requested.
- →Maintain confidentiality of employee and payroll information.
- →Follow applicable MHN policies, procedures, standards of conduct and regulatory requirements.
- →Complete required training and competency assessments.
- →Report to work as scheduled and perform other duties as assigned.
- A bachelor's degree in accounting or a related field is preferred.
- A minimum of five years of payroll processing experience, particularly involving multiple state or local tax jurisdictions, may be considered in lieu of a degree.
- Prior payroll experience in a large organization is required.
- Experience with ADP or another enterprise resource planning (ERP) system is preferred.
- Experience with electronic timekeeping systems is preferred.
- Working knowledge of payroll taxes and employee deductions is required.
- Strong computer skills are required.
- Ability to accurately calculate payroll amounts and verify payroll information.
- Strong attention to detail and accuracy.
- Ability to work effectively within an ERP and payroll system environment.
- Ability to troubleshoot payroll and system-related issues.
- Ability to maintain confidentiality of sensitive employee information.
- Ability to communicate effectively with employees and internal departments.
- Proficiency with Windows-based computer systems and standard office applications.
