Summary:
The Equipment Manager oversees fleet administration, equipment records, and maintenance support across multiple locations. This role manages inventory of Geotab units and communication devices, maintains accurate documentation and preventative maintenance schedules, reviews expenditures, and supports accounts payable. The position works closely with Operations Technology, Purchasing, Facilities, and shop teams to ensure consistency, efficiency, and compliance across the district. Regular travel is required to inspect fleet assets, audit parts, assist with new contracts, and build strong relationships with maintenance and operations staff.
Responsibilities:
As an Equipment Manager, your duties will include but are not limited to:
Ensure a proper inventory of Geotab units is maintained for new and replacement equipment, working closely with Operations Technology Specialist.
Serve as the key contact to ensure operations groups have access to a working two-way communications device for each piece of equipment.
Organize and ensure all maintenance documentation and records are accurate, up to date, and available for inspection across all locations.
Work with the Equipment Controller to review monthly expenditures and cross-reference accounting reports for accuracy.
Review accounts payable records daily.
Utilize fleet software to record equipment costs, track purchase order numbers, and monitor preventative maintenance scheduling to ensure all equipment files and documentation are current.
Collaborate with the District Equipment Manager and coordinate with the purchasing team to ensure all shops have proper supplies.
Work with the Shop Forepersons/Lead Hands to provide guidance on technical and administrative procedures, including documentation, work orders, and Dossier utilization.
Review and provide feedback on all building and property-related preventative maintenance, repairs, and costs (HVAC systems, doors, sprinkler systems, docks, plumbing, etc.), while working closely with the Facilities Manager to ensure consistency.
Monitor payroll entries and approval for hourly employees within the maintenance group.
Provide coverage for team members during absences as required.
Travel as required to each district location to inspect fleet, perform parts/material audits, and build relationships with maintenance and operations employees.
Travel to other company locations as required to support new contracts, new hires, and standardization initiatives within the Maintenance and Equipment group.
Competencies & Qualifications:
Must have strong interpersonal skills to manage, mentor, and guide personnel. Self‑motivation and organization are required, as well as the ability to develop communication and working relationships with all stakeholders.
Must hold a valid Red Seal Heavy Duty Truck and Transport licence.
Valid Motor Vehicle Inspection Licence considered an asset.
Must be organized and able to implement procedures to maximize efficiency of processes.
Must have a valid driver’s licence, a reliable and respectable vehicle, and proper insurance coverage.
Must have advanced computer skills, including knowledge and experience with Microsoft Outlook, Word, Excel and fleet maintenance software.
Excellent communication and self‑management skills.
Must be self‑motivated and able to work with minimal supervision.
Experience in meeting deadlines with the ability to work in a fast‑paced environment and stressful conditions.
It is a key focus to build relationships with maintenance, finance, and operations staff to align with the corporate goal of fostering teamwork and creating operational excellence.
You must be a leader within the organization and work to build up your team of administrative staff to perform at a high level.
