Expectations 

Academic HR:   

  • Independently review, and respond to inquiries and provide consultation and problem-solving support to units, FASA liaisons, and HR on faculty, academic staff, and Executive Management employment matters, including: 

  • Interpretation and application of policies, practices, and handbook provisions 

  • Guidance on complex, unusual, or non-routine employment matters 

  • Review and approval of special circumstances, exceptions, and other matters requiring FASA authorization 

  • Consultation on appropriate practices and approaches based on institutional policy, precedent, and individual circumstances 

  • Troubleshooting and resolution of issues that require coordination across units, FASA, HR, or other university partners 

  • Conduct review and research in support of requests, coordinate with MAU HR reps as needed.  

Review and approve certain HR/FASA form requests.  

  • Partner and take lead for FASA on discussions with HR and HRIT to identify, develop, and implement process and system improvements, including changes needed to support evolving policies, practices, and operational needs. 

  • Develop training materials, guidance, and other resources related to faculty, academic staff, and Executive Management policies, practices, and processes, in collaboration with campus partners and representing FASA. 

  • Compliance & Reporting Requests: 

  • Serve as a backup/additional support in responding to compliance, reporting, and information requests involving faculty, academic staff, and Executive Management employment matters. 

  • Research, review, and compile personnel and institutional records to support regulatory, policy, labor relations, and institutional reporting requirements. 

  • Review relevant personnel and case information to identify issues that may affect eligibility or participation in university awards, recognition, events, or other activities. 

  • Support responses to information and records requests, including FOIA and personnel file requests, in coordination with appropriate university partners. 

  • Prepare and distribute recurring and ad hoc reports and information to colleges, university offices, bargaining representatives, and other stakeholders, as appropriate. 

  • Collaborate with campus partners to ensure information is accurate, timely, and handled in accordance with applicable university policies and requirements. 

  • Administrative/Other duties: 

  • Coordinate the development, review, and distribution of recurring memoranda, communications, and other office materials. 

  • Develop, document, and maintain standard operating procedures to support consistent and effective business practices. 

  • Coordinate and maintain appropriate system access and provide backup support for key university systems and processes. 

  • Develop and maintain organized repositories of important documents, records, templates, and reference materials, ensuring resources are current, accessible, and shared with FASA colleagues as appropriate. 

Project Management & Coordination 

  • Co-lead the project management of FASA initiatives and projects, including establishing project plans and timelines, coordinating activities and stakeholders, monitoring milestones and deliverables, identifying and resolving barriers, updating the PM system, and providing regular status updates. 

  • Serve as the primary FASA operational liaison and partner with MSU Human Resources and other university offices for assigned projects and institutional initiative.  

  • Lead the development, organization, and implementation of project deliverables, including final documentation, resources, communications, and training or guidance for campus stakeholders, as appropriate. 

  • Manage multiple projects and priorities, working with the supervisor to establish priorities based on institutional and FASA needs, project timelines, capacity, and area of expertise. 

Requirements

Knowledge equivalent to that which normally would be acquired by completing a Bachelor’s degree in human resources, business administration, public administration, or a related field; three to five years of progressively responsible professional HR experience, including interpreting and applying employment policies and advising managers or organizational partners. Demonstrated ability to research and resolve complex or non-routine HR matters, evaluate relevant facts, develop recommendations, and recognize when additional consultation or authorization is needed.  Demonstrated ability to explain complex policies clearly and prepare accurate correspondence, guidance, reports, and procedural documentation for varied audiences. Experience independently managing competing priorities, coordinating projects or recurring processes, tracking deadlines, and ensuring timely completion. Experience handling sensitive personnel information and reviewing records or data for completeness, accuracy, and appropriate use. Experience working across organizational units and using HR information systems, spreadsheets, and shared document or project management tools;  or an equivalent combination of education and relevant experience.

Experience supporting faculty, academic staff, or academic administrators in a college, university, or university system. Experience with matters such as appointments, reappointments, promotion, tenure or continuing status, leaves, and employment exceptions. Experience coordinating HR matters across decentralized units, multiple employee groups, or a unionized setting. Experience developing standard operating procedures, improving HR workflows, or partnering with HR technology teams to implement system changes. Experience coordinating initiatives involving multiple offices, including developing timelines, monitoring deliverables, and preparing implementation materials. Experience creating and delivering training, policy guidance, templates, or other resources for HR partners and administrators. Experience researching personnel records, preparing institutional reports, or coordinating responses to audit, labor relations, or information requests. Familiarity with Michigan State University’s academic employment policies, handbooks, organizational structure, and HR systems.

Some of the duties of this position can be done remotely. There will be a minimum expectation of working onsite three days per week in East Lansing.
