Position Description
The Mammovan Program Manager is responsible for the overall operations of the NVHC mobile mammography program. Responsibilities include the coordination of screening sites throughout the State of Nevada, managing the office and travel staff, all needs of the truck, trailer, generators and Hologic equipment as well as monitoring and spending grants.
Desired Education or Certifications Criteria
§ Bachelor’s Degree with at least 2 years of experience in operations management.
§ Experience in healthcare, women’s health, health screenings or radiology operations preferred.
§ Background in marketing and development is preferred
Detailed Responsibilities / Functional Job Description
§ Oversight of Mammovan operations to assure women 40 and older throughout Nevada have access to 2D/3D screenings on the mobile unit.
§ Establish partnerships and collaborations to promote NVHC Mammovan services in the communities throughout the State of Nevada.
§ Interviews and hires “A” talent employees in accordance with organizational procedures to assure the Mammovan is staffed at all times with both travel and fixed office staff members.
§ Assures all processes related to patients receiving accurate results in a timely manner are managed and monitored consistently.
§ Responsible for tracking turnaround of results as well as follow-up with patients in need of follow-up to assure timely and efficient processes.
§ Works closely with Mammovan Medical Director to assure clinical oversight and direction is followed at all times.
§ Administers employee disciplinary actions as necessary after consulting with Human Resources
§ Assures staff have access to and complete appropriate education and trainings.
§ Organizes and conducts monthly staff meetings, daily huddles and regular rounding, validating the performance of these activities by direct reports.
§ Accountable for reviewing, monitoring, managing, developing and submitting budgets and approving supply orders.
§ Support Mammovan team members in providing excellent service through process improvement activities.
§ Creates a positive work environment and handles grievances as necessary
§ Completes employee evaluations in accordance with NVHC policy and procedures.
§ Implement key Mammovan service line strategies as established by leadership.
§ Ensures that patient encounters are closely monitored and met on a monthly/annual basis
§ Monitors monthly patient satisfaction survey results and implements appropriate changes and enhancements to improve satisfaction scores.
§ Be available to staff during workhours and after hours in emergencies
§ Collaborates with Billing and Accounts Payable to assure reimbursements are received for mammography services.
§ Assists Development Team in securing grant funding to support the Mammovan as well as supporting reporting requirements as needed for awarded grant.
§ Manages grant spending, assuring grant requirements are met and staff have updated information related to grant spending on a regular basis.
§ Prepares monthly grant encounter reports for Account Payable and Leadership
§ Prepares and manages monthly State of Nevada NCIS grant reports.
§ Manages the Mammovan staff time and attendance as well as all requests for ETO.
§ Maintains, monitors and accounts for petty cash and donations on the Mammovan
§ Works closely with Outreach Specialist to coordinate staff schedules as well as travel.
§ Works with Lead Mammogram Tech with scheduling and preparation of yearly state inspection, physicists, and Hologic PM.
§ Is responsible for coordinating all maintenance needs for the Mammovan unit(s).
§ Manages vendor(s) and Service Agreements for all maintenance and/or supplies on/for the Mammovan. Moreover, that all service needs are met.
§ Attends and participates in leadership meetings/trainings
§ Addresses and answers clients questions and/or concerns
§ Informs VP of Ancillary of Services of program needs and staffing
§ Involvement with non-profit committees group sessions and meetings
§ Assists NVHC Marketing dept. to develop media releases, newsletters and informational brochures. Participates in media interviews.
§ Performs public speaking to target populations or agencies promoting/educating on women’s health, NVHC clinics, and/or NVHC Mammovan for Nevada
§ Researches issues of concern to NVHC and target populations
§ Assists in development of service delivery policies and procedures and QA/CQI programs
§ Ensures proper computer policy and procedures are followed
§ Ensures compliance with HIPAA, OSHA & other regulatory agencies
§ Performs other work related duties as requested by supervisor
Desired Knowledge, Skills & Abilities
§ Fluent in English both written and verbal Skill in operating computer databases
§ Skills at logistics and planning with strong organizational skills
§ Ability to read, write, and calculate mathematical figures
§ Knowledge of general office practices and procedures
§ Knowledge of mammography/women’s health CPT and ICD-9-CM coding
§ Ability to perform public speaking in a professional manner
§ Ability to maintain confidentiality of information; financial and medical information
§ Ability to maintain a driver’s license, and to perform courier duties; as needed
§ Ability to travel for multiple days; when applicable
§ Ability to exercise good judgment in appraising situations and making decisions
§ Ability to work and interact effectively and positively with other staff members to build and to
enhance teamwork in the clinics and overall NVHC's organization
§ Ability to communicate in a courteous and professional manner
§ Ability to understand and respond appropriately, effectively and sensitively to special population groups as defined by race, ethnicity, language, age, sex, etc.
§ Knowledge of the essential functions of a medical mammography and/or women’s health
