The Role
Reporting to our Asset Operations Manager, you’ll be the administrative backbone making sure our assets are safe, reliable, and ready to roll out for our volunteers and friends. Within this role, you will manage the behind the scenes logistics for our fleet across Australia and New Zealand, scheduling routine maintenance, tracking vehicle compliance, and organising contractor repairs when unexpected hiccups happen. It’s a hands-on, get-stuff-done kind of role where you’ll be working closely with our Vehicle Leaders, partners, suppliers and contractors to keep services running and support our volunteers and friends in the community.
This is a dedicated administrative support role, perfect for an organised admin professional looking to upskill and learn the ropes of asset management. You generally won't be getting your hands dirty under a hood, instead, you’ll be using your stellar communication skills to liaise with contractors. Any prior experience to or understanding of vehicle maintenance, mechanical terminology, or auto-electrical systems is a fantastic bonus and will help you hit the ground running, but it is not required!
What you’ll be doing (in a nutshell)
- Coordinating compliance and safety: Managing the administration and scheduling required to keep our vehicles roadworthy, safe, and ready for action.
- Managing maintenance logistics: Working as the central point of contact to resolve incidents, coordinate contractor bookings, and track repair workflows with urgency.
- Supporting asset projects: Assisting with the administrative tracking, documentation, and scheduling for vehicle repairs, upgrades, and new builds.
- Providing remote and occasional site support: Keeping operations running smoothly, with occasional travel to services to provide support to volunteers, contractors or fellow staff members.
- Improving service efficiency: Contributing to develop and implement strategies to improve and expand community impact with a focus on building service efficiency and stakeholder support programs
- Building strong relationships: Maintaining regular contact with Asset Leaders, providing clear updates and support to keep them engaged and informed.
- Liaising with partners: Building strong professional connections with our internal teams, volunteers, and external contractors or suppliers.
- Inventory administration: Overseeing stock and inventory tracking, ensuring parts and supplies are ordered and accounted for accurately.
- Data and reporting: Utilising data, asset management systems, and spreadsheets to help the team make smart decisions and improve fleet reliability.
- Service Support: Being an active member on the Service Support line, supporting volunteers on shift when things might not be going to plan.
What you bring to the table
- You build great relationships and know how to communicate with all kinds of stakeholders
- You’re organised, reliable, and know how to juggle priorities like a pro and work towards tight deadlines
- You're proactive, love problem-solving and able to think on your feet
- You’re good with some travel and occasional after-hours support when needed
- You’re passionate about what we do and want to help make a difference
- Bonus points if you’ve worked in asset/fleet coordination before – but not a deal breaker
