Payroll & Administration Assistant
We are seeking a detail-oriented and organized Payroll & Administration Assistant to support the company's payroll operations and administrative functions. The successful candidate will be responsible for end-to-end payroll processing, employee records management, contract administration, and coordination of employee-related activities while ensuring compliance with company policies and relevant employment regulations.
Responsibilities

- →Process monthly payroll accurately and on time for employees and external staff.
- →Maintain and reconcile employee timekeeping and attendance records.
- →Input and update employee information, including new hires, terminations, salary adjustments, and benefits in the payroll system.
- →Review and approve medical claims, leave records, and payroll-related transactions.
- →Perform payroll reconciliation and ensure compliance with payroll procedures and deadlines.
- →Manage payroll billing and related documentation.
Employee Records & Contract Management
- →Prepare employment contracts, contract renewals, and amendments for external staff.
- →Coordinate the distribution and collection of signed employment contracts.
- →Maintain accurate and up-to-date employee personnel files and records.
- →Ensure confidentiality and proper handling of employee information.
Administrative Support
- →Schedule and coordinate employee training courses and medical check-ups.
- →Maintain medical claims records and other HR administrative databases.
- →Prepare and submit monthly waiver of levy applications and other required employment-related submissions.
- →Assist with general administrative duties and documentation management.
- →Provide support on ad hoc administrative and payroll-related projects as assigned.
Qualifications & Experience
- →Minimum 1 year of experience in payroll processing and administrative support.
- →Experience handling payroll software and Microsoft Excel.
- →Familiarity with payroll regulations, statutory requirements, and employment administration.
- →Knowledge of Singapore Ministry of Manpower (MOM) regulations is an advantage.
- →Experience in maintaining employee records and handling confidential information.
Skills & Competencies
- →Strong attention to detail and high level of accuracy.
- →Excellent organizational and time management skills.
- →Ability to work independently with minimal supervision.
- →Strong numerical and analytical abilities.
- →Good communication and interpersonal skills.
- →Proficient in Microsoft Office applications, particularly Excel.
