The Clinical Operations Coordinator is responsible for managing the front-end clinical readiness process for students entering clinical experiences. This role ensures all required documentation, clearances, and compliance requirements are completed accurately and on time prior to clinical placement. Serving as a primary point of contact, the coordinator guides students through clinical requirements, communicates expectations, and provides support to ensure readiness for clinical participation.

The Clinical Operations Coordinator works with internal departments to track the clinical readiness progress, maintain accurate records, and ensure alignment with regulatory and organizational standards. This position plays a critical role in minimizing delays, maintaining compliance, and supporting a seamless transition from classroom to clinical practice.

Responsibilities

  • Manage the front-end clinical readiness workflow for students, from intake through clearance for clinical start
  • Track, monitor, and maintain process completion status using databases and third-party systems to support timely clinical readiness and adherence to completion
  • Review and verify required documentation (e.g., immunizations, background checks, certifications) to ensure students meet clinical and compliance requirements.
  • Enforce clinical documentation requirements in alignment with clinical site agreements, regulatory, and organizational standards
  • Serve as the primary point of contact for clinical readiness-related inquiries from students and faculty
  • Communicate clinical readiness requirements, deadlines, and status updates clearly and consistently
  • Identify, escalate, and resolve incomplete, expired, or non-compliant documentation through timely follow-up and coordination to minimize delays in clinical Readiness.
  • Organize and maintain accurate and audit-ready records of all documentation and communications
  • Generate reports and status summaries to support monitoring of progress, compliance rates, and outstanding requirements
  • Lead meetings with campus leadership, faculty, and student support teams to proactively address clinical placement challenges.
  • Provide regular status updates and contribute to operational, academic, and leadership meetings by communicating risks, barriers, and placement-related issues, and collaborating on solutions to support student progression and clinical placement success.
  • Mentor and provide training to campus teams on effective documentation, communication, and data management related to clinical experiences.

Requirements

  • Associate’s Degree, Bachelor’s Degree Preferred
  • Minimum of five plus years of clinical coordination in health care or colligate settings 
  • Minimum of two (2) years of customer service or sales experience, with preference given to those with experience in a healthcare setting.
  • Excel experience is required.
  • Able to multi-task between daily tasks while managing phone calls, emails, messages and meetings.
  • Highly organized and focused professional who addresses problems and innovates with accountability and continuous improvement as guiding lights.
  • Able to work independently and meet deadlines consistently.

Our defined compensation structure is market competitive and is built to reward performance.  A reasonable estimate of the current range for this role is $45,900.00 to $59,700.00.  We take a number of factors into account when determining individual starting pay, including but not limited to: job and level hired into, location, skill set; experience and training; peer compensation and other business and organizational needs. This range is subject to change.
