A well-established legal firm is seeking a highly consistent and seasoned Litigation & Commercial Secretary to provide dedicated support. This role is ideal for a professional who thrives in a high-pressure environment and possesses the technical expertise to manage complex commercial documentation and high-volume litigation files with minimal supervision. Key Responsibilities Executive Legal Support: Provide comprehensive secretarial support almost exclusively to a Senior Commercial and Litigation Director, ensuring efficient workflow and file management. Complex Document Production: Execute high-speed Dictaphone typing and advanced formatting for commercial agreements, including tracking changes and managing detailed commentary. Litigation Management: Prepare and process High Court and Magistrates Court pleadings, notices, affidavits, default judgement requests, and warrants of execution. File & Diary Administration: Maintain a rigorous diary system for approximately 500 active files, ensuring all deadlines and court dates are strictly adhered to. Stakeholder Communication: Screen incoming calls and professionally engage with debtors and sheriffs to facilitate file progress. Digital Integration: Utilise AJS software for accounting and file management, and leverage Caselines for digital document uploading. Compliance & Governance: Assist with FICA screening processes and ensure all documentation meets the firm’s quality and regulatory standards. Requirements Experience: 5–15 years of experience as a Legal Secretary within both Commercial and Litigation departments. Technical Skills: Expert-level Dictaphone typing and advanced proficiency in MS Office (specifically tracking changes in Word). Litigation Knowledge: A solid foundational understanding of High Court and Magistrates Court procedures; a "willingness to learn" attitude is key as internal training will be provided. Professionalism: A reliable, punctual, and hard-working individual with a professional disposition. Logistics: Reliable own transport is essential. Clearances: Must be willing to undergo criminal record and credit bureau screening. Preferred Qualifications Proficiency in AJS accounting and file management software. Practical experience using Caselines for court submissions. Prior experience handling FICA screening and compliance documentation. Required Software Skills AJS Caselines MS Office Suite (Advanced Word) Dictaphone Typing Software Benefits Compulsory provident fund with a 5% employer matching contribution. 15 days annual leave, plus additional discretionary days granted during the annual December/January office closure.
