Job Summary:

The Warehouse Manager is responsible for the inventory and flow of rental assets into and out of the Las Vegas Branch, as well as the overall warehouse organization and stock keeping that support safe, accurate, and efficient operations. This position leads the warehouse team and owns four core functional areas — Receiving, Inbound QC, RMA / Defects / Write-offs, and Shipping — while also ensuring the warehouse is organized, controlled, and maintained to support daily execution.

This is a hands-on, high-energy leadership role. The Warehouse Manager sets and enforces standards, develops and motivates the team, drives continuous improvement, and partners closely with Production, Project Coordination, Field Operations, and branch leadership to keep the branch executing the plan. Success in this role depends on strong leadership, excellent attention to detail, clear communication, and a disciplined 5S / LEAN mindset.


Scope of Responsibility:

The Warehouse Manager owns the following functional areas and the team members assigned to them, while also holding responsibility for overall warehouse organization, stock keeping, and inventory control across the branch:

  • Receiving — reconciling and closing incoming customer orders, scanning assets, reconciling re-rents and inter-company transfers (ICTs), and returning equipment to stock.
  • Inbound QC — testing, cleaning, inspecting, and configuring inbound equipment to a deployable standard, with accurate case labeling and same-day issue reporting.
  • RMA / Defects / Write-offs — tracking defects, e-cycling, and coordinating repair-depot shipments within defined timelines.
  • Shipping — shipping inter-company transfers and client packages accurately, safely, and on time with complete scanning and tracking communication.


Essential Duties and Responsibilities:

Leadership & Team Development

  • Lead, supervise, and develop the warehouse team across Receiving, Inbound QC, and Shipping; ensure every task has clear ownership, priorities, and deadlines.
  • Foster a positive, high-energy work environment; coach, motivate, and hold team members accountable to standards with consistency and fairness.
  • Provide training and cross-training so the team can flex to meet workload demands and build bench strength within the department.
  • Communicate department objectives and the branch plan regularly; remove blockers and escalate risks with a clear completion plan (what / when / who) the same day they are identified.
  • Partner with Production, Project Coordination, Field Operations, and Administration to align labor, equipment, and vehicles to the plan.


Receiving

  • Ensure incoming RAs are reconciled and closed within 2 business days of physical return receipt; publish a documented completion plan when large returns require more time.
  • Ensure all barcoded equipment is scanned into SmartOps and received off orders in Emerald.
  • Oversee reconciliation of re-rents, ICTs, and purchases; ensure newly owned equipment is barcoded cleanly and consistently and that old labels are removed.
  • Ensure equipment is physically returned to correct stock locations — no unlabeled “parking” on carts.
  • Monitor Open Orders and drive action to close within 2 business days of the Off Rent date.


Inbound QC

  • Ensure inbound equipment is tested, cleaned, inspected, and confirmed to standard configuration with all required accessories present.
  • Ensure cases are labeled clearly and consistently and equipment is returned to the correct, properly labeled location.
  • Ensure damages and missing accessories are reported in the SharePoint Damage & Loss tracker the same day they are identified.
  • Prioritize equipment with immediate Production need as identified by Production and the Control Center.


RMA/ Defects/ Write- offs

  • Ensure defects are reported and tracked in the SharePoint Damage & Loss tracker with accurate ecodes.
  • Ensure faulty equipment is shipped to the repair depot within 5 business days of ship notification, and e-cycled within 5 business days of notification from Repair.
  • Maintain a visible queue of RMA / defect items with status and next action; follow up on stagnant items that lack direction.


Shipping

  • Ensure ICTs and client packages are picked, packed, and shipped accurately, safely, and on time per Shipping Standards.
  • Ensure transfers are scanned accurately, tracking information is recorded in SmartOps, and tracking is communicated to receiving branches and Sales by end of day.
  • Review the Outstanding Transfer Out list weekly and clear old or unused transfers.


Warehouse Standards & Continuous Improvement

  • Serve as the 5S / LEAN champion for the warehouse; maintain orderly, clean, safe, and optimized work areas.
  • Own overall warehouse organization and stock keeping; ensure equipment is stored in correct, labeled locations, stock is orderly and accessible, and warehouse layout supports efficient daily operations.
  • Enforce End-of-Day reset standards — clear lanes, stocked tools and supplies, trash removed, and only labeled WIP remaining.
  • Establish and maintain a cycle count process to ensure the accuracy of physical inventories in the company operating system.
  • Develop and maintain work instructions for all warehouse tasks.
  • Champion safety programs withing the branch and ensure compliance with company safety policies in the branch.
  • Drive continuous improvement and cost control — “think like an owner” — and recommend measures to improve quality of service and process efficiency.


Key Performance Measures:

The following measures are reviewed weekly:

  • CA closeout compliance — percentage of CAs closed within 2 business days.
  • Open Orders aging — count past 2 business days from Off Rent without a completion plan.
  • QC throughput and timeliness of same-day defect / missing-accessory reporting.
  • Defect aging and repair-shipment compliance.
  • On-time shipment rate and transfer scan accuracy.
  • Inventory accuracy as measured by cycle count and physical inventory results.
  • Overtime trend by area, with documented drivers and countermeasures.
  • Execution against weekly priorities.


Qualifications & Experience:

  • 3 to 5 years of experience in a warehouse, inventory, or operations role with an emphasis on process, safety, and training; prior supervisory experience required.
  • Demonstrated ability to lead, develop, and motivate a team — strong leadership and interpersonal skills are essential to success in this role.
  • Highly organized, with the ability to prioritize and manage multiple workflows and competing deadlines.
  • Excellent attention to detail and accuracy across scanning, documentation, labeling, and inventory transactions.
  • Strong written and verbal communication skills, including timely escalation and cross-department coordination.
  • Strong PC skills; proficiency in Microsoft Office (Word, Excel, Outlook) and the aptitude to learn new applications quickly. Experience with inventory or rental operating systems is a plus.
  • Knowledge of and experience with 5S, LEAN, TQM, TPS, or a similar quality / process improvement system is strongly preferred.
  • Familiarity with event technology equipment (audio, video, computers, printers, and related peripherals) is a plus.

Physical Requirements & Work Environment

  • Work is performed in a warehouse environment; the role regularly requires standing, walking, bending, and moving throughout the facility.
  • Must be able to lift and move equipment up to 50 lbs. and safely operate or coordinate the use of warehouse equipment as needed.
  • May require occasional extended or off-hours work to meet delivery, return, and project deadlines.
