Our client, a fast-growing company transforming how mortgage and real estate experiences connect, is seeking an Agent Success / Broker Coordinator Assistant to support and scale their agent referral network.
The company partners with 30+ lenders to connect pre-qualified buyers with top-performing real estate agents, creating a seamless, concierge-style experience. With 4–5x year-over-year growth, their current agent network operations are at capacity—this role is critical in removing that bottleneck and driving continued expansion.
The primary function of this role is to support the recruitment, engagement, and accountability of real estate agents within the referral network, ensuring consistent communication and CRM accuracy.
Responsibilities
~1 min read- →Agent Follow-Up: Proactively reach out to agents to ensure timely submission of required weekly updates
- →High-Volume Communication: Conduct 20–30 calls per day to maintain engagement and accountability across the network
- →Recruitment Support: Identify and onboard new agents to fill geographic or performance gaps
- →CRM Management: Maintain accurate records, workflows, and activity tracking within HubSpot
- →Data Integrity: Ensure agent updates are complete and usable for internal analytics and performance tracking
- →Relationship Management: Build and maintain strong working relationships with agents nationwide
- →Escalation Handling: Flag underperforming or non-responsive agents for replacement or reassignment
- →Administrative Support: Assist with ongoing coordination and operational tasks tied to the agent network
Requirements
~1 min read- 2–8 years of experience in coordination, operations, sales support, or similar roles
- Experience working with CRM systems (HubSpot strongly preferred)
- Comfortable handling high call volume (20–30 calls/day)
- Strong communication and follow-up skills
- Highly organized with strong attention to detail
- Ability to manage multiple workflows simultaneously
- Self-starter who can operate with minimal oversight
- Strong English communication skills
- Experience in real estate, mortgage, or proptech environments
- Background in agent coordination, recruiting, or brokerage operations
- Familiarity with performance tracking and accountability systems
- Experience working in high-growth or startup environments
- Full-time, remote position
- Schedule: Monday–Friday, 9:00 AM – 5:00 PM EST
