The firm owns and directly operates multi-family residential communities across Texas, prioritizing a smooth, responsive onboarding experience for prospective residents from the moment they apply.
The Application Processing Support Associate provides essential back-office administrative support to keep the leasing pipeline moving smoothly. This role takes prospective residents from application submission to final approval—collecting income documents, calling prior landlords for verifications, answering applicant questions, and keeping on-site leasing teams updated. Working directly with U.S.-based community managers, the ideal candidate possesses exceptional organizational skills, strong attention to detail, and fluent, conversational English and Spanish.

Application Review & Document Collection: Receive incoming rental applications across multi-family properties; gather and log basic proof of income (paystubs, bank statements, offer letters).

Verifications & Background Checks: Conduct rental history verifications by contacting prior landlords and property managers via phone and email; process standard background and credit screenings.

Bilingual Applicant Outreach: Walk applicants through pending items in both English and Spanish over the phone or email, answering questions and maintaining clear communication to minimize delays.

Team Coordination & Data Entry: Log applicant status updates and move-in timelines in the property database; provide real-time updates to U.S.-based on-site leasing offices.

Lease Administrative Support: Assist with preparing standard lease packages and move-in documentation once approvals are complete.

Native or near-native bilingual fluency in English and Spanish (written and spoken—must feel confident making outbound phone calls in clear English).

Strong computer literacy and web proficiency (Google Workspace, Microsoft Excel/Docs, web portals).

Experience reviewing basic administrative or financial documents for accuracy.

Previous exposure to property management software (AppFolio, Yardi, RealPage, Buildium) is a plus

Professional, friendly phone manner when speaking with applicants and previous landlords.

Strong administrative follow-through and organizational stamina to manage multiple active files.

Autonomous worker who takes initiative to follow up on missing documents without constant prompting.

Requirements

1–3 years of administrative, back-office processing, virtual assistant, or customer support experience.

Prior experience in real estate, property management, or high-volume administrative verification is a bonus, but strong administrative generalists are welcome.

Dedicated home office setup with high-speed internet, headset, and full availability during U.S. Central Standard Time (CST) operating hours.
Delayed application processing creates vacant units and operational backlog for property managers. This role provides the operational horsepower to ensure incoming resident files are processed quickly, accurately, and courteously.
At $1,600 – $1,900 USD/month, this budget is well-calibrated for an autonomous, bilingual LATAM-based administrative specialist who can manage phone outreach, verify documentation, and work full U.S. CST hours.
