SteerBridge is seeking a mid- to senior-level Administrative Support Specialist to provide executive administration, correspondence control, task management, and program-office support for an anticipated Headquarters Marine Corps engagement.

The successful candidate must have an active Secret clearance and hands-on experience using the Department of the Navy Enterprise Task Management Software Solution, commonly known as DoN ETMS2. This individual will support administrative and task-management activities across NIPRNet and SIPRNet environments.

This position is contingent upon SteerBridge receiving the contract award.

Responsibilities

  • Manage complex executive calendars, appointments, and competing leadership priorities.
  • Coordinate internal and external meetings, conferences, and special events.
  • Assist with official travel planning, itineraries, documentation, and related administrative requirements.
  • Coordinate visitor access, security clearances, meeting locations, and logistical arrangements.
  • Prepare agendas, meeting materials, read-ahead packages, minutes, and action-item summaries.
  • Maintain professional communication with senior military, civilian, contractor, and external stakeholders.
  • Draft, edit, format, coordinate, and route official correspondence.
  • Ensure compliance with Department of the Navy and Marine Corps writing standards and routing procedures.
  • Prepare memoranda, position papers, briefing materials, reports, and other official documents.
  • Review correspondence for grammar, formatting, completeness, accuracy, and proper coordination.
  • Maintain correspondence logs and monitor documents throughout the review and approval process.
  • Receive, track, route, process, and close assigned tasks using DoN ETMS2.
  • Monitor administrative and programmatic action items assigned to the Program Office.
  • Provide regular status reports to leadership and follow up with responsible stakeholders.
  • Identify approaching and overdue deadlines and support timely resolution.
  • Receive, track, and process Automatic Message Handling System messages.
  • Maintain accurate task records and supporting documentation.
  • Provide administrative and task-management support at the unclassified and Secret levels.
  • Perform work on NIPRNet and SIPRNet systems in accordance with applicable security requirements.
  • Draft official correspondence, position papers, briefings, summaries, and status reports.
  • Maintain SharePoint sites, document libraries, trackers, templates, and program repositories.
  • Research and assist with the development or maintenance of policy handbooks and office procedures.
  • Coordinate Program Office conferences, meetings, events, and stakeholder engagements.
  • Handle sensitive, controlled, and classified information in accordance with security policies.

Requirements

  • Active Secret security clearance.
  • Five to eight years of relevant administrative, executive-support, program-support, or task-management experience.
  • Direct, hands-on experience using DoN ETMS2 to receive, track, route, process, and close tasks.
  • Experience working within NIPRNet and SIPRNet environments.
  • Experience processing or coordinating AMHS messages.
  • Knowledge of Department of the Navy or Marine Corps correspondence standards and routing procedures.
  • Experience managing executive calendars, meetings, official travel, visitor clearances, and administrative deadlines.
  • Demonstrated ability to draft, format, review, and route official correspondence.
  • Experience tracking action items and providing accurate status updates to leadership.
  • Proficiency with Microsoft Office, Microsoft Teams, Outlook, and SharePoint.
  • Strong written communication, organization, attention to detail, and time-management skills.
  • Ability to manage multiple urgent priorities in a fast-paced headquarters environment.
  • Must be local to the Washington, DC metropolitan area and available to work at the Pentagon and SteerBridge office.
  • Prior administrative or program-support experience with Headquarters Marine Corps, the Department of the Navy, or another Department of Defense organization.
  • Previous Pentagon experience.
  • Experience supporting General Officers, Senior Executive Service personnel, Program Managers, or other senior leaders.
  • Familiarity with military travel, visitor-access, records-management, and document-control requirements.
  • Experience coordinating large conferences, governance meetings, or executive-level events.
  • Bachelor’s degree in business administration, public administration, communications, or a related field.

This position is being recruited in support of an upcoming federal proposal. Any offer of employment will be contingent upon SteerBridge receiving the contract award, final government approval, verification of qualifications and clearance, and confirmation of funding and position availability. The anticipated award and start dates are subject to change.
