To provide independent daily reconciliation, visibility and control over the end-to-end value chain by validating the physical and system movement of inventory from production through to sale.
The incumbent is responsible for reconciling physical stock, production records, warehouse movements, dispatches, sales transactions and ERP records within Oracle and Mosaic. The role proactively identifies, investigates, resolves and escalates variances to support accurate stock reporting, system integrity, loss prevention and audit readiness.
The Value Chain Reconciliation Clerk acts as a critical link between Operations, Distribution, Supply Chain, Sales, Finance and Risk Control by ensuring that transactions are accurately reflected in company systems and supported by physical evidence

Reconcile the complete daily value chain: Raw Materials to Production to Finished Goods to Warehouse to Despatch to Sales to Oracle/Mosaic.

·   Reconcile production quantities to production records and ERP transactions.

·   Validate opening stock plus production, less movements and sales or dispatches, to closing stock.

·   Compare physical inventory to system inventory and investigate differences.

·   Confirm that production, stock movement, despatch and sales transactions are completely and accurately processed.

·   Maintain a daily reconciliation tracker and variance register.

·   Escalate material, recurring or unresolved variances to the Risk and Control Manager and relevant operational management.

Reconcile physical inventory, production records, warehouse records, despatch documentation and sales transactions to Oracle and Mosaic.

·   Identify unposted production, incorrect quantities, incorrect SKU or product codes, unprocessed movements, timing differences and duplicate transactions.

Investigate incorrect yield or wastage transactions, despatches not reflected in the system, sales without corresponding stock movement, and negative or abnormal stock balances.

·   Ensure valid corrections are processed and supported by appropriate documentation.

·   Conduct independent daily or periodic counts of critical raw materials, packaging materials, finished goods, returns, damaged stock and obsolete stock.

Verify stock held in production, and despatch areas.

·   Validate physical quantities independently rather than relying solely on system balances.

·   Investigate count variances and validate stock adjustments.

·   Identify and quantify each material variance.

·   Validate the physical quantity and trace the relevant transaction and supporting document.

·   Engage the department responsible and determine the root cause.

·   Agree corrective action and ensure system corrections are processed where appropriate.

·   Monitor actions to completion, retain supporting evidence and formally close each variance.

·   Drive variances to resolution rather than only reporting discrepancies.

·   Reconcile daily basket and returnable asset movements between physical records, FAR & Mosaic.

·   Monitor shortages, losses, recoveries and unusual trends.

·   Investigate material variances and report significant exposure to the Risk and Control Manager.

·   Support corrective and recovery actions with relevant operational teams.

Reconcile despatch documentation to system transactions and verify stock transfers between locations.

·   Reconcile route deliveries, returns, credits and write-offs.

·   Investigate delivery, route, driver and hawker stock movement discrepancies.

·   Confirm that sales transactions have corresponding stock movements.

·   Maintain complete, accurate and traceable reconciliation evidence.

·   Monitor compliance with approved SOPs, BMR, financial controls and company policies.

·   Ensure that supporting documentation for stock adjustments, credits and write-offs is complete and authorised.

·   Support physical stock counts.

·   Prepare daily reconciliation summaries, variance reports and exception reports.

·   Report negative stock, unposted transactions, abnormal balances, basket variances and inventory accuracy exceptions.

·   Provide weekly and monthly trend analysis to the Risk and Control Manager.

·   Recommend practical actions to reduce recurring variances and strengthen controls.

·   Work closely with Production, Supply Chain, Distribution, Sales, Finance, and Site Management.

·   Challenge discrepancies constructively and obtain the information needed to complete reconciliations.

·   Promote timely ownership and closure of control exceptions across departments.
