Salary commensurate with experience.


Fifteen (15) days paid vacation in the first year, increasing to 24 days after 6 years of employment, plus 5 paid “personal and sick days” each year. In addition, approximately two weeks company-wide break over Christmas/New Year. Japanese social insurance and pension, commuting/telework allowance, a welfare-discount program membership, and retirement payment system.


OVERVIEW OF POSITION

This position may be filled at either Senior CRM (Slate) Administrator or the IT Director – Administrative Systems level, depending on the selected candidate’s experience, leadership background, and scope of prior responsibility. Candidates hired at the Senior CRM Administrator will have a clearly defined path to expanded responsibilities and progression to the Director role based on performance and institutional needs.


A little over one year ago, TUJ adopted Slate, a CRM system designed specifically for higher education. Since then, we have rapidly developed and implemented Slate to support student recruitment, admissions, and new student orientation and registration. We are now seeking a senior systems professional who can continue to expand and develop Slate beyond admissions and new student onboarding. This role will work closely with the existing CRM Administrator and lead Slate development initiatives including student success, retention, visa processes, scholarship management, transfer credit evaluation, campus and program change processes, and other institution-wide workflows.


The ideal candidates will have extensive, hands-on experience developing and managing Slate in a university environment, and advanced knowledge of SQL, HTML, and CSS, Javascript as Slate integrates with multiple systems such as Banner and NetSuite. The ability to analyze complex business requirements and translate them into efficient technical solutions is essential.


Management experience is a significant asset that strengthens one’s pathway to future promotion to a director-level position (if hired as the Senior CRM Administrator position).

 

KEY RESPONSIBILITIES   

Phase 1: Slate CRM Optimization & Expansion (Hands-On, Initial Primary Focus)

  • Serve as the institutional owner and lead architect for the Slate CRM environment and lead ongoing design, development, and expansion of Slate project
  • Actively perform hands-on Slate configuration and build-out, including:
    • Forms, workflows, rules, queries, and automation
    • Communications, portals, and user experiences
    • Reporting, dashboards, and data views
    • Integrations and data flows (in collaboration with central IT)
  • Refine and enhance existing Slate configurations to address outstanding details and improve scalability
  • Lead and directly support the expansion of Slate into graduate programs, designing solutions aligned with graduate recruitment and admissions processes
  • Partner with undergraduate and graduate stakeholders to document business processes and translate requirements into Slate solutions
  • Establish and maintain Slate data standards, governance, documentation, and best practices
  • Prioritize and manage Slate enhancement work across multiple departments and programs
  • Coordinate and manage Slate vendors, consultants, and external partners
  • Ensure data integrity, security, and compliance

 

Phase 2: Administrative Systems Oversight (Evolving Focus from 1-2 years after hire)

  • Provide strategic oversight for additional administrative systems beyond Slate
  • Evaluate system performance and recommend enhancements, replacements, or new solutions
  • Ensure systems are integrated and aligned with institutional IT standards

 

IT Project Management

  • Lead and actively participate in administrative systems projects from planning through implementation
  • Develop project plans, timelines, and resource allocations
  • Coordinate internal teams, stakeholders, and vendors
  • Communicate progress, risks, and milestones to leadership


Leadership & People Management

  • Supervise and mentor two administrative systems staff members initially
  • Provide hands-on technical guidance and review work to ensure quality and consistency
  • Prioritize team workloads and support professional development
  • Establish standards for documentation, testing, and change management


Strategy & Collaboration

  • Act as a strategic advisor to administrative leadership on CRM and administrative systems
  • Collaborate closely with central IT on integrations, infrastructure, security, and compliance
  • Stay current on Slate releases, higher education CRM trends, and best practices

 

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in information systems, Computer Science, Higher Education Administration, or a related field (or equivalent experience)
  • Minimum of 2-5 years of hands-on Slate CRM experience in a higher education environment
  • Demonstrated experience performing direct Slate configuration, system build-out and management
  • Hands-on experience using SQL, HTML, CSS, and Javascript to develop and integrate Slate with enterprise systems such as student information systems
  • Experience optimizing or expanding an existing Slate implementation, ensuring data accuracy and integrity
  • Experience leading IT projects involving enterprise or administrative systems
  • Strong understanding of higher education administrative and academic workflows
  • Excellent problem-solving and troubleshooting skills
  • High level of proficiency in English, with exceptional written and verbal communication skills
  • Ability to work effectively across departments and with diverse stakeholders in a collaborative environment

 

PREFERRED QUALIFICATION

  • Master’s degree in a related field
  • Prior people-management experience
  • Formal project management training or certification
