DU is situated in the Denver metro area, a vibrant urban center in the Rocky Mountain region, home to more than 3 million people. The Clinic Coordinator assists leadership at the Center of Child Family Psychology (CCFP), which is the Clinical Ph.D. program’s on-campus psychology clinic that provides therapy and assessment services to members of the Denver-area community. They perform the following duties (including but not limited to): managing new client inquiries and conducting intake calls for the CCFP’s Developmental Neuropsychology Clinic, managing billing processes and tracking revenue, scheduling client sessions and clinic rooms, scheduling and supervising timecards of clinical work study students, ordering supplies, upkeeping the electronic record system (i.e. Titanium), managing client databases, liaising with community partners, and other duties as assigned. The Clinic Coordinator is an integral part of the CCFP staff, as they often are the first point of contact with potential new clients and a frequent source of ongoing communication for established clients. They also work closely with graduate student clinicians, psychology faculty, and department staff to enact CCFP policies and processes.
This is a part-time position (20 hours per week, ideally with about 4 hours of work occurring each weekday). The position is primarily in person, although up to one day per week can be completed remotely.
- Client Management Tasks: Maintaining electronic and paper client records; managing incoming calls, website inquiries, & emails from potential and current clients; completing phone intakes with new clients; assisting with scheduling appointments; emailing written materials for clients; managing client waitlists; managing clinic room calendars; upkeeping the electronic medical records system; preparing monthly caseload reports; providing outside referrals/resources as needed.
- Client payments. Monitoring and processing client payments; creating insurance statements; submitting cashier deposits; working closely with the department’s budget officer/business manager.
- Clinic Work Study Student Support. Coordinating with the department administrative assistant to recruit students to fill these positions; overseeing work study students’ on-campus work schedules and task completion; reviewing and approving biweekly timecards.
- Supply Management. Overseeing clinic supply inventory; ordering supplies for the clinic with employee’s purchase card; working with the department budget officer/business managers needed.
- Client Parking. Assisting clients with psychology designated parking spaces, parking passes, and issues with parking citations.
- Community Liaising. Conducting outreach with community organizations to support client referrals.
- General Clinic Administrative Support: Typing, proofreading, photocopying, and emailing a variety of documents for the clinic leadership team, and other duties as assigned.
- Ability to communicate effectively, professionally, sensitively, and maintain good working relationships with faculty, staff, students, and the public.
- Ability to safeguard confidential information and stay up to date on required protections for client information.
- Ability to read and follow verbal and written directions and instructions, multi-task, and be flexible.
- Ability to do basic math and to use computer programs to manage and do basic manipulations of data.
- Strong computer skills and aptitude for using a variety of software & data management platforms (e.g., Titanium, REDcap, Canva, etc.) as well as proficiency in the Microsoft office suite (Word, Excel, Outlook, Powerpoint).
- Excellent interpersonal skills to work with faculty, staff, students, and community members.
- Reliable and timely processing of client records, billing, communication, and scheduling.
- Ability to work independently while prioritizing tasks thoughtfully.
- Proven organizational skills and high attention to detail.
Requirements

- Task specific experience in the Microsoft Office Suite (e.g., creating, saving, uploading, downloading and sending documents; creating and maintaining spreadsheets)
- One (1) year or more of clinic support experience
- Experience with database software (e.g., REDcap)
- Experience with electronic medical record systems (e.g., Titanium)
