Independent Contractor – CPT-11730 Full-Cycle Psychiatric Revenue Cycle Management (RCM) Biller/Business Support VA/Junior-Advanced Level (Remote).

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

The company is seeking an experienced Full-Cycle Psychiatric Revenue Cycle Management (RCM) Biller to manage billing operations for its mental health practice. The ideal candidate has hands-on experience with the full revenue cycle in a psychiatric or mental health setting, including both patient-facing and insurance-facing responsibilities.

This role requires strong working knowledge of eClinicalWorks (ECW), insurance billing, patient account management, and revenue cycle reporting. The successful candidate must be able to communicate professionally with patients and insurance representatives, retain and apply training quickly, follow established procedures, and maintain accuracy in a fast-paced healthcare environment.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Contractors will be required to provide services that align with the following client tasks:

  • Manage full-cycle revenue cycle activities for a psychiatric or mental health practice.
  • Handle patient and insurance-related billing inquiries, follow-ups, and account concerns.
  • Review patient balances, account information, and claims to support accurate billing and timely resolution of outstanding issues.
  • Generate and review patient statements and access account inquiry functions in eClinicalWorks.
  • Support insurance billing processes, including Medicare Part B billing, in accordance with applicable requirements and practice procedures.
  • Apply knowledge of ICD-10 and CPT codes, particularly those relevant to psychiatric and mental health services.
  • Maintain accurate billing records and ensure that billing activities reflect the appropriate service details and time-based requirements of mental health services.
  • Handle incoming and outgoing calls related to patient billing, insurance claims, account balances, and payment inquiries.
  • Communicate professionally, patiently, and respectfully with patients, including those who may be frustrated or distressed.
  • Practice active listening and ensure that patient concerns are fully understood before responding or taking action.
  • Provide accurate information within the scope of the role and follow established procedures when clarification or escalation is needed.
  • Use appropriate telephone etiquette, including correct language when placing callers on hold, transferring calls, or explaining next steps.
  • Complete required identity verification before discussing protected health information (PHI) or patient account details.
  • Demonstrate practical, hands-on experience using eClinicalWorks in a medical billing environment.
  • Navigate patient accounts, review balances, access claims through account inquiry, and generate patient statements.
  • Use the system efficiently to retrieve relevant billing information and support account resolution.
  • Adapt to the practice's existing workflows and system configurations.
  • Prepare, extract, organize, and review billing and revenue cycle reports using Excel and spreadsheets.
  • Track relevant billing information and identify discrepancies or outstanding issues requiring follow-up.
  • Participate in meetings with the external billing team, practice leadership, and administrative personnel to discuss reports, concerns, and performance.
  • Present findings clearly and support timely resolution of billing-related issues.
  • Apply HIPAA knowledge and follow established privacy and security procedures.
  • Protect patient information during calls, documentation, reporting, and system access.
  • Follow appropriate patient identity verification procedures before disclosing PHI.
  • Maintain accurate and professional documentation of patient and insurance interactions.
  • Learn the practice's workflows and procedures quickly and demonstrate the ability to retain and apply new information.
  • Take clear notes during training and weekly updates, and implement process changes accurately and promptly.
  • Complete return demonstrations to confirm understanding of assigned workflows.
  • Communicate proactively about questions, errors, technical issues, or potential delays.
  • Respond promptly to instructions and feedback and remain receptive to coaching and performance improvement.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • At least 2–3 years of proven experience in psychiatric or mental health medical billing.
  • Hands-on experience managing the full RCM cycle, including patient-facing and insurance-facing responsibilities.
  • Recent psychiatric billing experience is strongly preferred. Experience from more than approximately two years ago may not meet the client's preference for current, practical knowledge.
  • Demonstrable experience with eClinicalWorks (ECW), including patient balances, statements, and claims/account inquiries.
  • Working knowledge of Medicare Part B billing.
  • Knowledge of ICD-10 and CPT coding in psychiatric or mental health settings.
  • Strong understanding of HIPAA and patient identity verification procedures.
  • Experience preparing and reviewing reports using Excel or spreadsheets.
  • Excellent verbal communication, active listening, comprehension, and telephone etiquette.
  • Ability to remain professional and composed when handling difficult or emotionally charged patient interactions.
  • Strong attention to detail, organization, and time management.
  • Ability to learn quickly, retain information, follow instructions, and work effectively under pressure.
  • Reliable attendance, punctuality, and proactive communication.
  • No conflicting professional commitments that would interfere with the agreed full-time schedule.
