The Care Coordinator is responsible for performing essential administrative duties for the Counseling Center and providing crucial triage, case management, and administrative support for the Campus Assessment, Response and Evaluation (CARE) team. This position serves as the primary administrative link between the Counseling Center and the broader campus support network, ensuring seamless student access to services and efficient team operations.

Responsibilities

  • Serve as the primary point of contact for the Counseling Center. Answer and appropriately route incoming phone calls, manage the general office email inbox, greet students/visitors, and provide general information about services.

  • Manage office supplies, order materials, submit and track purchase requisitions, process invoices, and maintain records related to the Counseling Center operating budget in compliance with institutional policies.

  • Maintain and organize confidential client records (both electronic and physical), ensuring compliance with HIPAA, FERPA, and institutional privacy standards. Manage documentation for staff training, licensure, and professional development.

  • Schedule appointments for the Counseling Center staff, coordinate team meetings (including scheduling rooms and organizing materials), and assist with staff travel arrangements.

  • Assist the director with collecting, compiling, and summarizing statistical data related to center usage, appointment no-shows, and services for semester and end of year reports.

  • Serve as the initial point of contact for students calling or walking in with urgent concerns. Conduct brief, non-clinical triage to assess the urgency of need and appropriately refer students to counseling, emergency services, or external community resources.

  • Provide essential administrative support to the CARE/BIT team in connection with the Student Affairs Program Assistant, including scheduling meetings, taking confidential minutes, and disseminating necessary follow-up tasks to team members.

  • Manage central database/tracking system for CARE/BIT cases. Ensure timely communication and coordination of care among campus partners (e.g., Housing and Residence Life, VP and AVP for Student Affairs, Academic Affairs, etc.) related to persons of concern.

  • Conduct non-clinical check-ins and follow-up communication with students referred through the CARE/BIT process to ensure successful connection with recommended resources.

  • Maintain an up-to-date and organized list of campus and community mental health, medical, and social service resources for effective student referral.

Requirements

  • BA required in Psychology, Sociology, or related field

  • Minimum of 1 year experience in an administrative support role, preferably within healthcare, higher education, or social service setting.

  • Excellent organizational and multitasking skills with attention to detail.

  • Proven ability to handle sensitive and confidential information and discretion and professional maturity.

  • Strong verbal and written communication skills.

  • Ability to exercise sound judgment in crisis situations and follow established protocols.

  • MA/MS in Psychology, Sociology or related field

  • Prior experience working in a college counseling center, Office of Student Affairs or similar student support services setting.

  • Experience with case management or referral coordination.

  • Familiarity with the ethical and legal requirements related to student records (FERPA/HIPPA)
