Strategy & Delivery: Carry out the events strategy agreed with the Membership Director, managing day-to-day planning and execution while keeping every event on schedule and within budget.
Calendar Management: Develop and maintain the comprehensive events calendar, creating a balanced mix of member gatherings, guest experiences, and partner activations.
Creative Atmosphere & Design: Follow the creative direction set by the Membership Director, ensuring each event is cohesive in atmosphere, design, and service, and true to the spirit of Aethos.
Supplier & Talent Coordination: Coordinate suppliers, performers, hosts, and creative partners, managing briefs, contracts, production timelines, and logistics.
Financial Management: Manage event budgets, rigorously tracking spend against forecasts and reporting results to the Membership Director.
On-Site Event Leadership: Lead on-site event execution, collaborating closely with hospitality, F&B, and operations teams to maintain exceptional service standards from setup to close.
Guest Lists & VIP Access: Work alongside the membership team on guest lists and door flow for major on-site and off-site events, ensuring members and VIPs receive priority access and a warm welcome.
Marketing Collaboration: Partner with the marketing team on invitations, event communications, promotion, and content capture so that each gathering is clearly shared across our channels.
Partnerships & Activations: Support brand partnerships and external cultural collaborations by co-planning and executing joint activations.
Compliance & Safety: Oversee event compliance, including licensing, health and safety, security, and accessibility, adhering strictly to house policies.
Data, Feedback & Reporting: Track attendance, feedback, and performance metrics, preparing post-event reports and actionable recommendations so each activation informs the next.
Documentation & Operations: Maintain detailed production run sheets, technical riders, vendor files, and budget records.
Talent Scouting & Networking: Attend events, gallery openings, and cultural gatherings across Lisbon’s creative scene to discover fresh talent, performers, speakers, and suppliers.
House Hosting & Floor Presence: Maintain a visible presence on property and act as a warm, confident host during events.
Cross-Department Collaboration: Work seamlessly with membership, marketing, operations, and F&B teams to deliver a cohesive experience for members and guests alike.
Experience: Proven track record in event production and management within luxury lifestyle hospitality, private members’ clubs, premium cultural spaces, or high-end creative agencies.
Production & Logistical Skills: Strong operational background in managing event budgets, vendor contracts, run sheets, technical riders, licensing, and floor logistics.
Creative & Aesthetic Sensibility: Keen visual and spatial eye, with an understanding of atmosphere, lighting, sound, pacing, and styling.
Presence & Hospitality: Calm, composed under pressure, and personable, with a natural flair for hosting and building rapport with members, artists, and VIPs.
Network: Well-connected with Lisbon’s creative scene, local artists, musicians, speakers, and cultural suppliers.
Languages: Professional fluency in English and Portuguese is required.
Work Style:Highly structured, solution-oriented, hands-on, and comfortable working flexible hours, including evenings and weekends during major events.
Stability: Full-time employment contract.
Remuneration: Competitive salary package commensurate with role and experience.
Environment: Integration into the founding pre-opening team of a flagship urban property within a growing international boutique brand.
Development: Opportunities for continuous training, creative autonomy, and career growth across the Aethos Group.
