The Inventory Coordinator plays a critical role in ensuring the safe, efficient, reliable, and optimal operation of logistics, dispatching, and inventory control processes. Serving as a central point of contact, this role bridges the gap between planning, execution, and support functions. The main focus is to organize and oversee daily pickup and delivery (P&D) schedules, manage facility inventory, and guide the dispatching team while minimizing distribution costs and maximizing asset utilization. All duties must be executed in strict compliance with legal requirements, internal safety and compliance policies, and quality standards, with a proactive focus on problem-solving, operational efficiency, and superior customer satisfaction (both internal and external).

The responsibilities of the Inventory Coordinator are comprehensive, focusing on operational excellence, safety, and efficient resource management:

  • Distribution Optimization: Organize, review, and analyze daily delivery routes and P&D schedules to maximize efficiency, reduce costs, and improve customer service. Cooperate with the broader distribution network to resolve bottlenecks and implement logistics enhancements.

  • Shipment Coordination: Coordinate weekly inbound and outbound inter-branch shipments and P&D runs for raw materials, intermediate products, and finished goods, ensuring proper document and inventory control.

  • Inventory Control: Manage daily cycle counts, inventory audits, and reconciliations to identify and resolve discrepancies promptly. Maintain precise inventory records, tracking stock levels of raw materials, in-process goods, and finished products.

  • Discrepancy Resolution: Take swift corrective action for overages, shortages, damaged/incorrect items, or improper documentation, communicating issues directly to relevant internal teams.

  • Shipping & Receiving Support: Assist the shipping and receiving department by auditing incoming deliveries against bills of lading and packing slips, confirming paperwork accuracy, and validating or closing out system orders.

  • Loss Prevention: Implement and maintain standardized inventory and shipping control procedures to maximize operational efficiency and minimize material loss.

Systems Administration & Documentation

  • Data & System Management: Daily dispatching and tracking of all scheduled deliveries utilizing R12, the designated dispatching program, and the servi-trax system. Manage barcode, payroll, and dispatching systems.

  • Database Maintenance: Review system data daily, perform data entry to ensure databases remain completely up to date, and maintain computerized systems and equipment to meet user needs across production, inventory, and shipping functions.

  • Records Retention: Keep highly accurate records and maintain superior housekeeping and organizational standards at the facility.

  • KPI Tracking: Extract, analyze, and monitor daily and monthly distribution reports, tracking Key Performance Indicators (KPIs) for dispatching, production, quality, safety, shipping, and inventory.

  • Performance Review: Partner with the Regional Distribution Director to evaluate monthly performance ratios and operational costs. Identify variances, present findings to management, and recommend corrective actions to enhance operational workflows and maximize asset utilization.

  • Commercial & Budget Support: Collaborate with sales teams and headquarters to support customer profitability evaluations, assess distribution costs, analyze volumes, and estimate tank installation costs to facilitate accurate client quotes. Participate in annual budget development.

  • Safety Culture: Unwaveringly adhere to and enforce all internal and external rules, regulations, and company safety compliance policies and procedures. Actively participate in facility safety meetings, conduct inspections, and foster a proactive safety culture.

  • Risk Mitigation: Proactively identify potentially risky situations, inform affected personnel, and participate fully in the corrective follow-up process.

  • Quality Assurance: Maintain full compliance with Good Manufacturing Practices (GMP) regarding medical gases and medical devices. Oversee the Quality System and the customer complaint/non-conformity management system (INTELEX), completing non-conformity forms and adopting necessary corrective measures.

  • High School Diploma (Grade 12) required; Degree or Bachelor's in Logistics Management, a related technical field, or a certificate in road freight transport with significant relevant experience is highly preferred.

  • 5 to 8 years of experience in a related logistics/distribution domain preferred, or 1–3 years within a manufacturing, process plant, or industrial operations environment.

  • Experience in industrial gas, chemical manufacturing, or a similar process-driven industry is highly preferred.

  • Previous experience in a leadership or supervisory role is considered a strong asset.

  • Transportation of Dangerous Goods (TDG / TM Dangerous Goods), Industrial Management System (IMS), BDS, and Oracle knowledge.

  • Proficient with computer programs and software, including Google Suite applications, MS Office (Excel, Word), and specialized industrial databases.

  • Strong oral and written communication skills.

  • Strong foundational knowledge in management and basic finance.
