1.   Leadership & Executive Support

  • Serve as the primary administrative focal point for the Supply Chain Execution Director and leadership team, triaging requests, coordinating responses, and ensuring timely, high-quality deliverables.
  • Manage Supply chain Director’s certifications and signature seal, ensuring the usage is complied with company policy
  • Coordinate leadership materials (decks, routine reports, org updates): collect inputs, check formatting/completeness, manage version control, and publish final files.
  • Handle sensitive information with strict confidentiality; apply appropriate access controls and comply with company data privacy and information governance requirements.

2.   Meeting Management

  • Organize meetings, workshops, and offsites (venue/Teams setup, attendee management, and logistics support).
  • Manage meeting agenda and communications (invites, reminders), capture minutes, and track action owners and due dates to closure.

3.   Administrative & Process Governance

  • Consistently improve and standardize the work processes of supply chain governance, driving simplicity and consistency across 3 sub-regions
  • Coordinate with HR/Finance/SBS/DT and other functions on administrative matters (system access, purchasing, training enrollment, policy refresh, office administration), ensuring team activities in align with company policies and procedures
  • Support third-party headcount administration and onboarding/offboarding logistics: initiate joiner/mover/leaver requests, coordinate laptop/IT access, arrange inductions and key trainings, and keep org charts/contact lists updated.

4.   Organizational Communication

  • Act as a communication bridge between Supply Chain Execution leadership and the wider organization to ensure key decisions, priorities, and action expectations are clearly cascaded and understood.
  • Draft, translate (Chinese/English), and distribute internal communications (emails, announcements, meeting recaps, leadership messages): tailor tone for audience, proofread, and coordinate release timing with stakeholders.
  • Support change communications (organization/role changes and major initiatives): prepare FAQs, coordinate announcements, track acknowledgment/feedback, and ensure documentation is stored for future reference.

5.   Data, Governance & Knowledge Management

  • Maintain structured filing and SharePoint governance for leadership materials: define folder taxonomy, manage access rights, enforce naming conventions, and keep an up-to-date index for easy retrieval.
  • Support preparation, consolidation, and version control of major presentations and reports: maintain templates, control latest versions, coordinate sign-offs, and ensure alignment between numbers/messages across documents.
  • Ensure information accuracy, traceability, and audit readiness by organizing meeting minutes/action logs, approval records, and key correspondence for timely retrieval.

6.   Culture Enabler and Talent Development

  • Support culture, engagement, and talent development; Coordinate internal/external resources and partner with stakeholders to lead and organize Diversity, Inclusion and Belonging related activities, female development initiatives, and related communications
  • Provide support to talent development programs and forums, to continuously strengthen the organizational capability in safety, integrity, innovation and operational excellence.
