Position Summary

The Vice President of Administration is a member of the Leadership Team responsible for the systems, infrastructure, and people-and-culture practices that let Alaska Community Foundation run smoothly, efficiently, and sustainably. The role combines operational stewardship with human-resources leadership, and holds executive accountability for ACF's key operating vendor relationships.

The VP of Administration oversees the Director of Administration, whose branch manages day-to-day facilities operations, including the BP Energy Center; the Manager of Office Services (Michele Murphy), who owns general office administration, front-desk operations, staffing and resource logistics, and supply and equipment management, distinct from facilities work; and, once the position is filled, the Administration Coordinator, who provides cross-functional coordination and execution support.

Key Responsibilities

Operations, Compliance, and Vendor Management

  • Lead and continuously improve administrative systems and operations, including HR, IT, office management, and facilities.
  • Serve as executive liaison to ACF's key operating vendor relationships, including the external human resources partner and Resource Data (IT vendor), holding those partnerships accountable for service and value at the contract level; day-to-day IT support sits with the Director of Administration.
  • Oversee vendor relationships, insurance, and contracts, and ensure compliance with employment law and other operational regulations.
  • Develop and manage departmental budgets and operational policies.

Office Services

  • Hold executive accountability for staff, equipment, supplies, and other administrative resources being managed and allocated effectively across the organization; day-to-day office administration and logistics sit with the Manager of Office Services.
  • Set priorities and direction for the Office Services function, distinct from facilities management.

Facilities and BP Energy Center Oversight

  • Hold executive accountability for the BP Energy Center, the Foundation's community event facility, ensuring it remains welcoming, well-maintained, and mission-aligned; day-to-day management sits with the Director of Administration.
  • Set the direction for equitable rental and usage policy for nonprofits and community partners.
  • Ensure the facility supports local collaboration, learning, and community visibility.

People and Culture

  • Direct HR strategy and practice (hiring, onboarding, performance management, and compliance) in partnership with ACF's external HR consultant.
  • Build and sustain a positive, inclusive organizational culture grounded in the Foundation's values.
  • Partner with Leadership Team peers on staff learning and professional development.
  • Ensure HR practices stay current, equitable, and compliant with applicable law and standard.

Team and Operational Leadership

  • Lead and develop the Director of Administration, the Manager of Office Services, and, once seated, the Administration Coordinator.
  • Develop and manage departmental budgets, work plans, and performance metrics.
  • Foster a culture of collaboration, learning, and continuous improvement across the function.
  • Ensure operational systems and tools effectively support the work of every department.

Leadership Team Participation

  • Serve as an active member of the Leadership Team, contributing to organization-wide strategy, planning, and decision-making.
  • Partner with fellow Leadership Team members on cross-functional collaboration and alignment.
  • Advise the CEO and Board on internal operations, organizational infrastructure, and people-and-culture matters.

Qualifications

  • Bachelor's degree required; advanced degree in business, public administration, or a related field preferred.
  • 7+ years of progressively responsible leadership experience in operations, administration, or organizational management.
  • Demonstrated experience in HR management, facilities oversight, and organizational systems.
  • Working knowledge of employment law and HR compliance, insurance, and contract administration, with experience managing vendor relationships.
  • Excellent interpersonal, communication, and problem-solving skills.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Knowledge of and commitment to Alaska, its communities, and the mission of ACF.
