Prepare, review and maintain export/import documents, including PI, Sales Contract, CI, PL, SI, VGM, C/O, HC, COA and other required documents.

Manage customer and shipment orders in ERP (Business Central/Navision), coordinating with Commercial, Planning, Manufacturing, Warehouse and other stakeholders.

Manage end-to-end export, import and drop shipment operations across Vietnam and APAC, ensuring timely delivery, compliance, cost efficiency and customer satisfaction.

Coordinate with customers, suppliers, overseas manufacturing sites, freight forwarders, shipping lines, customs brokers and authorities.

Requirements

University graduate; Diploma/Degree in Foreign Trade, International Trade, Logistics, Supply Chain or related fields.

Minimum 2 years of relevant experience in Import/Export, Logistics, Trade Compliance or a similar position.

Fluent English with strong communication skills.

Good command of Microsoft Office, especially Word and Excel.

Strong coordination, communication, problem-solving and stakeholder management skills.

Good understanding of import/export documentation, customs clearance and logistics operations preferred.

Study and interpret Cambodia import regulations, licensing requirements and authority requirements, including MAFF and Customs.

Identify product classifications and licensing/regulatory requirements for each product/SKU.

Prepare and maintain application documents, including legal documents, product specifications, labels, COA, technical dossiers and supporting documents.

Coordinate with Regulatory Affairs, QA, Commercial, Marketing, Manufacturing, Supply Chain and Trade Compliance to ensure regulatory compliance.

Coordinate import shipment planning with suppliers, internal teams, freight forwarders and customs brokers.

Review Incoterms, delivery schedules and transportation arrangements.

Review and maintain import documents, including CI, PL, B/L or AWB, C/O, Insurance Certificate and other regulatory documents.

Prepare customs declaration dossiers and coordinate customs clearance.

Ensure compliance with HS code classification, import regulations, customs procedures, tax requirements and government regulations.

Coordinate import permits, product registrations, licenses and other regulatory requirements.

Monitor shipments through final delivery and resolve delays, cargo damage, shortages and claims.

Coordinate warehouse receiving, cargo inspection, document handover and shipment closure.

Review freight invoices, verify logistics costs and coordinate with Finance for payment and reconciliation.

Maintain import records and prepare logistics reports, KPI analysis and improvement recommendations.

Coordinate end-to-end drop shipments from overseas manufacturing sites, including France, Portugal and other ADM affiliates, to APAC customers.

Manage orders in Business Central/Navision and prepare PI, CI and other required documents.

Coordinate with overseas factories, Commercial teams, freight forwarders and customers on production schedules, shipment plans, ETD, ETA and delivery timelines.

Responsibilities

Coordinate order confirmation, production schedules, shipment bookings, transportation, container loading and vessel schedules.

Liaise with freight forwarders, shipping lines, customs brokers and authorities for customs clearance and compliance.

Handle L/C shipments with Finance, banks and customers to ensure accurate and timely documentation.

Arrange cargo insurance and ensure shipping documents are complete and consistent.

Track ETD, ETA and delivery milestones; resolve shipment delays, discrepancies and customer inquiries.

Ensure compliance with Trade Compliance, export control and customer-specific requirements.

Maintain shipment records and prepare export reports, KPI analysis and improvement recommendations.
