We are seeking a Senior Project & Program Support Specialist to support a NASA contract in Washington, D.C.   Job Description: Provide senior-level project and program support to the Astrophysics Division within the Science Mission Directorate (SMD) at NASA Headquarters.   Responsibilities: Web Modernization Duties Work as the Web Modernization lead and support SMD web modernization with APD-specific content on customer-facing websites. Work with SMD’s communications group to align and provide consistent messages about missions, goals, and findings, and support division direction at the SMD Web Group Write/update content for science.nasa.gov. and work closely with web POCs, Division Executive Officer, and others. Monitor APD and mission web pages, news feeds, and to maintain awareness of Division activities, goals, priorities. Outreach (with the larger Web Mod team) to website users and coordinate the consolidation of URLs and migration of website content to flagship URLs. Conduct regular meetings with Astrophysics’ Web Editors. Periodically meet with the broader Web Mod team to assist with website migrations. Meet bi-weekly with the SMD Web Division Reps team. Review APD internal websites to ensure accuracy of information and contents. Work with OComm to ensure that Astrophysics information on external websites is accurate and current. Work with OCOMM to respond to public questions from websites, students, requests for speakers.  Attend weekly division staff meetings to get to know the personnel within and outside the division, and to note any applicable actions derived from these meetings. Provide quality control of the Division’s communications products such as webpages and science videos, checking for updated, factual content, and proofreading for appropriate tone, audience level, and overall quality. Interface with Program Executives, Scientists, and external stakeholders to facilitate effective communication and alignment with Division goals.   SharePoint Management Manage access requests, permission levels, etc. POC for SharePoint access approving. Update and maintain the Division “OneNASA” SharePoint site. Organize and maintain division documents within SharePoint.   Provide Backup Support for the following functions: Coordinate and provide virtual and in-person support for Division reviews, meetings, events, and cross-organizational briefings including logistics, agenda development, attendee coordination, room reservations, virtual meeting setup, in-room support during meetings (running slides, etc.). Track division personnel with security clearance access (secret, top secret, and top secret/SCI) and assist them in setting up classified briefings within NASA and with other DoD/DOE agencies.   Oversee APD’s Guest Operations. Submit NAMS requests for Internet Access, HQ Shared Folders, HQ VPN Remote Access, Etc. Assist with maintenance of Division trinket box, solicit new additions; ensuring APD swag is stocked; provide stickers, posters, pins, etc., as requested. Support and manage domestic and foreign visitors to NASA HQ division offices by submitting requests in advance and communicating that information to the authorized escorts. Be an authorized escort for Foreign National visitors. Partner with Program Executives and Scientists, Comms, Lead Admin, and others to create robust launchbooks. Assist with Calendar management for Astrophysics Division leadership; including calendar resolution to ensure key meetings are covered by at least one member of the senior management team. Independently manage travel coordination and voucher processing for Program Executives, including invitational and international travel, ensuring compliance with federal regulations. Prepare travel itineraries and authorizations; process receipts and expenses for vouchers; maintain travel records. Prepare and route official NASA correspondence documents in alignment with NASA standards and directives. Order and maintain office supply inventory. Provide customer-facing assistance including answering phones, greeting visitors, and escorting guests to meeting locations. Work with NASA systems such as HAL, PAM, TRIRIGA, and SMD MPR to ensure timely and accurate processing of actions and resources. Additional duties as assigned.   Requirements: Adobe Photoshop and/or InDesign and/or Illustrator. Familiarity with basic web design principles. Advanced proficiency in Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint. Familiarity with WordPress or other content management systems is preferred. Ability to work independently and proactively in a fast-paced, mission-driven environment. Strong decision-making skills with the ability to act quickly and communicate clearly in dynamic situations. Exceptional organizational, analytical, and communication skills. Ability to learn quickly and think critically to create innovative solutions for customer and team needs. Familiarity with NASA policies and procedures including Federal Travel Regulation, NPR 1450.10, NPR 8705.4, and others. Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA HQ. Extensive background investigation will be performed as a requirement of the job.     Education and Experience: Bachelor’s degree and 7+ years of related professional experience or 11 years of related professional experience in lieu of degree.
