About the Role
~1 min readWe are seeking a highly organized, resourceful, and detail-oriented Chief of Staff / Executive Operations professional to provide comprehensive support to a senior executive across both business and personal priorities.
This is a hands-on execution role for someone who thrives on organization, problem-solving, and getting things done. The ideal candidate is highly proactive, comfortable operating with limited direction, and capable of bringing structure to situations that may initially be ambiguous or undefined.
Unlike a traditional Chief of Staff role centered primarily on corporate strategy, this position combines executive support, operational coordination, project management, and personal affairs management. The successful candidate will be comfortable shifting seamlessly between high-priority business matters and personal responsibilities while maintaining exceptional discretion and attention to detail.
Responsibilities
~1 min read- Serve as a trusted operational partner to the executive, helping manage priorities and ensure important matters are completed accurately and on time.
- Manage complex scheduling, meetings, appointments, travel, and changing priorities.
- Coordinate and track projects, commitments, deadlines, and follow-up items across multiple areas of responsibility.
- Prepare documents, reports, meeting materials, correspondence, and other executive-level materials as needed.
- Organize information and maintain systems that allow the executive to quickly understand priorities, outstanding items, and upcoming deadlines.
- Conduct research, gather information, and independently work through operational or administrative problems.
- Coordinate with internal teams, outside professionals, vendors, attorneys, accountants, financial institutions, and other business partners.
- Review documents and information for completeness and accuracy before they reach the executive.
- Take ownership of miscellaneous projects that do not naturally sit within another department or function.
- Identify potential issues before they become problems and proactively drive them toward resolution.
- Assist with select personal and family-related administrative matters with a high degree of professionalism and discretion.
- Coordinate personal appointments, reservations, travel, purchases, services, and other logistics.
- Manage communication and coordination with household vendors, professional advisors, service providers, and other external parties.
- Assist with personal financial and administrative organization, including tracking documents, invoices, payments, renewals, records, and important deadlines as appropriate.
- Maintain confidential personal and business records in an organized and easily accessible manner.
- Handle sensitive and confidential matters with exceptional judgment and discretion.
- Be willing to take ownership of both significant projects and small details necessary to keep the executive's professional and personal responsibilities running smoothly.
The successful candidate is naturally organized and gets satisfaction from creating order, maintaining systems, solving problems, and completing tasks.
They are comfortable being given an objective rather than detailed instructions and can independently determine the steps required to accomplish it.

- Comfortable interacting professionally with senior executives, attorneys, accountants, financial professionals, vendors, and other external partners.
- Willing to roll up their sleeves and handle tasks regardless of size when necessary.
Requirements
~1 min read- Bachelor's degree required; strong academic background preferred.
- Background in business, finance, legal, accounting, operations, or a related discipline strongly preferred.
- 5–8+ years of progressive experience in executive support, business operations, legal or financial administration, project management, or a related role.
- Prior experience supporting a senior executive, founder, CEO, business owner, family office, professional services organization, or similarly demanding environment is highly desirable.
- Experience in executive operations, project coordination, legal administration, financial administration, executive assistance, or business operations is preferred.
- Strong proficiency with Microsoft Office and/or Google Workspace and an ability to quickly learn new technology and productivity tools.
- Excellent organizational, research, documentation, and project-management skills.
- Demonstrated ability to manage confidential and sensitive information appropriately.
