We’re looking for a proactive Order Processing & Sales Operations Coordinator to join our team and help make a difference in people’s lives.

The person in this role is responsible for processing orders, communicating with customers, and supporting the operations, manufacturing, sales, finance, and fabrication teams administrative functions. We’re looking for a detail-oriented and collaborative individual who excels in organizing information and following established workflows. You will play a vital role in delivering a seamless experience to both our customers and internal teams.

Your Impact

● Order Processing & Sales Operations

○ Process incoming orders and ensure accuracy in parts, pricing, quantities, order entry, shipping information, and product availability.○ Maintain and manage customer files, contracts, and documentation related to the sales process.○ Collaborate with manufacturing and operations teams to ensure timely fulfillment, accurate shipments, and transparent communication on delays. ○ Generate quotes and track potential orders through to completion. ○ Support sales by generating reports and other sales documentation. ○ Ensure proper traceability of orders across all software platforms. ○ Provide support with shipping and receiving as needed.

● Customer Service

○ Collaborate with fabrication team to ensure prompt and accurate communication about orders involving fabrication services.○ Answer phone calls and emails on shared lines to support customers. ○ Be informed of and trained on all products and services available at Point Designs in order to support questions during the ordering process as well as repair needs post-delivery.○ Independently troubleshoot customer issues with billing, orders, and shipments. ○ Escalate concerns to the appropriate team after collecting necessary information. ○ Process demo requests and maintain demo pool.

● Administrative Support

○ Manager general administrative duties including scanning, filing, and record keeping. ○ Support internal meetings by capturing notes and providing follow-up. ○ Schedule team activities and travel as needed. ○ Help maintain office organization and purchase basic supplies.

● Other duties may be assigned as needed.

• High school diploma or GED
• 2 years of related experience
• Able to work fully in-person

• Competent with using a computer
• Skilled in Microsoft Office and Google Workspace
• Familiarity with CRM and ERP systems, or ability to quickly learn new software platforms
• Keen attention to detail and ability to multi-task
• Strong focus on quality across all work output
• Empathetic and solution-oriented when connecting with customers
• Desire to learn and stay informed
• Ability to prioritize multiple tasks
• Clear and professional communicator – both written and verbal
• Ability to work independently and collaboratively with other teams
