The Union Payroll & Compliance Analyst is responsible for analyzing union payroll data, preparing and validating union benefit and dues payments, supporting audits, and resolving complex reporting discrepancies. The role works closely with Payroll Administrators, Finance, Human Resources, union representatives and internal business partners. It does not directly supervise Payroll Administrators; instead, it serves as a technical resource for escalations, audits and payment-cycle issues.
Success requires strong Excel capability, logical problem solving, close attention to detail, and the ability to learn and apply multiple collective bargaining agreements (CBAs), wage sheets, reporting portals and internal processes. The analyst must be comfortable moving between time-sensitive priorities while maintaining accurate records and clearly communicating the path to resolution.
Responsibilities
~2 min read- →Analyze payroll, time, wage, benefit and deduction data to calculate and support accurate union dues, benefit contributions, market recovery reporting and other union-related payments.
- →Prepare, validate and submit union reports and payments in accordance with applicable CBAs, wage sheets, reporting rules, deadlines and company procedures.
- →Use advanced Excel functions and audit techniques, including XLOOKUPs, formulas, reconciliations, data comparisons and multi-sheet models, to transform payroll reports and identify errors or exceptions.
- →Perform internal audits by reconciling data across systems and source files, including payroll data, FJX records, Payroll Administrator templates, payment receipts and internal tracking tools.
- →Investigate discrepancies, trace root causes and coordinate corrections with Payroll Administrators and other internal partners before reporting or payment deadlines.
- →Support Payroll Administrators with complex escalations, missed hours, FJX issues, payment processing, record updates, union outreach and audit requests when additional technical assistance is needed.
- →Maintain accurate, complete and organized records to support payment processing, internal controls, external audits and regulatory or contractual inquiries.
- →Serve as a knowledgeable contact for union representatives regarding reporting or payment questions, documentation requests and resolution of discrepancies.
- →Review new or revised CBAs, wage sheets and related requirements; translate changes into accurate internal templates, controls and processing steps.
- →Create payment-cycle reports and issue summaries for stakeholders, clearly explaining findings, risks, status and recommended resolution steps.
- →Develop and maintain job aids, audit checks, projection templates and other internal tools that improve accuracy, consistency and efficiency within the constraints of union reporting requirements.
- →Contribute to Excel, audit, wage-sheet and process training after developing sufficient subject-matter expertise.
- →Prioritize multiple union-specific processes and deadlines, recognizing that each union may use different rules, portals, formats and submission procedures.
- →Perform other related duties as assigned.
- Advanced Excel proficiency: Ability to build, review and troubleshoot formulas and interconnected workbooks; use lookup functions; reconcile large data sets; and recognize how an upstream error affects downstream results.
- Analytical and logical thinking: Ability to follow data lineage, connect information across reports and systems, and isolate the source of a discrepancy.
- Problem solving: Ability to determine how differing data sets should align, identify missing or inconsistent information, and develop a practical resolution.
- Contract and regulatory aptitude: Ability to interpret detailed contracts, wage sheets, rules and regulated processes and accurately apply them to payroll reporting and payments.
- Mental agility: Ability to switch between unions, deadlines, portals and process requirements without losing accuracy or context.
- Attention to detail: Consistently accurate work in a deadline-driven environment where errors can create audit exposure, fines, damages, inaccurate reimbursements or damage to union relationships.
- Communication: Ability to explain analysis, summarize issues, document a recommended path forward and confidently manage difficult or technical conversations.
- Collaboration and service mindset: Ability to work independently while supporting teammates, sharing knowledge and helping resolve high-priority issues.
- Continuous improvement: Curiosity about the why behind a process and initiative to strengthen internal checks, templates, documentation and workflows.
- Bachelor’s degree in Accounting, Finance, Business Administration or a related field preferred. Equivalent relevant experience may be considered.
- Three to five years of experience in accounting, audit, payroll, compliance, financial analysis or another highly regulated, contract-driven environment.
- Demonstrated experience performing reconciliations, audits, data analysis or complex payment review.
- Advanced proficiency in Microsoft Excel is required. Experience with payroll, timekeeping or reporting systems is preferred.
- Prior experience with union payroll, CBAs or union benefit reporting is helpful but not required when the candidate demonstrates strong analytical, technical and contract-compliance capability.
- Experience collaborating within a team and supporting escalations is preferred. Direct supervisory experience is not required.
This is a hybrid position. The employee must live within 30 miles of a Climate Pros office and be available to work onsite two to three days per week, based on business needs. The employee may also be required to visit a customer site and/or complete a ride-along with a field technician as part of employment.
