Club Capital is an accounting, tax, and CFO advisory firm that serves insurance agencies and youth sports clubs. We work with roughly 1,000 clients firmwide, about 50 of them youth sports clubs, and each one is matched with a credentialed accountant or controller who knows their business. This role sits on the youth sports side.
Our youth sports clients are organizations run as businesses, and we support the business side of each one: accounting, tax, and compliance. Most are 501(c)(3) nonprofits managed by a volunteer board of directors, most of whom are parents of current players. A smaller share are for-profit entities owned by a founder or head coach. They collect registration, tournament, and sponsorship revenue and pay coaches as employees or contractors, which creates exempt-organization filings, payroll tax and 1099 reporting, and sales and use tax obligations in the states where they operate.
About the Role
~1 min readYou own all tax for the non-profit side of our youth sports practice. Every tax client is also a controller and/or CFO services client of ours. We do not handle tax filings for any entity or individual whose business or club is not with us for accounting or advisory work. Your work starts with tax onboarding: working out which returns have been filed, whether the client is current, which accounting method they say they use and whether it matches the books, what resolution items are open, and what questions they have. From there, you manage the recurring tax work that keeps each client current. You also handle returns for our for-profit clubs and individual 1040s, mostly for club owners and executive directors.
What we hold this role to:
- Every new client onboarded with filing history confirmed, accounting method matched to the books, and open resolution items identified.
- Every 990 filed or extended on time, and every 1099 filed by its deadline.
- Federal, state, and payroll notices answered well before their response deadlines.
- Clients who know where they stand on sales tax and payroll tax.
Responsibilities
~2 min read- →Own the process. Create, refine, and hold to the process around the recurring tax work. If the process fails, you have failed. Our youth sports accountants and controllers keep the books, so you partner with them at every step and present a unified front to the client, in plain English.
- →Manage the 990 cycle. Manage the preparation of Forms 990, 990-EZ, and 990-N, plus Form 990-T where unrelated business income applies, and review and sign the returns. Handle state charitable registrations and annual filings, and file the extensions for every return that needs one. Get the governance, compensation, and program service answers right, because the public reads them.
- →Own the annual 1099 process. Set the timeline, coordinate with the accounting team and the client, prepare all forms, and meet every deadline.
- →Own sales and use tax and franchise tax. Work out what is taxable for each club by state, manage registrations and exemption certificates, prepare and file sales and use tax returns and state franchise tax filings, and answer state inquiries.
- →Own tax resolution. Resolve federal, state, and payroll notices: triage what comes in, research it, respond, and request penalty relief where it is warranted. Handle payment plans, delinquent filings, and representation before the IRS and state agencies as part of that work. Keep powers of attorney current so clients never have to deal with the IRS or a state agency alone.
- →Own payroll tax items. Review 941, 940, state withholding, and unemployment filings, reconcile W-2 reporting, and settle coach classification questions before they become notices.
- →Prepare for-profit and individual returns. Prepare business returns for our for-profit clubs and 1040s for club owners and executive directors.
- →Provide tax planning and advisory. Meet with clients to discuss their tax strategy, explain what a number on a 990 means and how to protect exempt status, and work with the accounting team so the books stay in alignment with that strategy.
- An active CPA or EA license in good standing
- Experience managing and reviewing Forms 990 for tax-exempt organizations
- Experience with tax resolution, including resolving IRS and state tax notices
- Working knowledge of payroll tax filings, including Forms 941 and 940 and state withholding and unemployment
- Experience managing the full 1099 process: setting timelines, coordinating with accounting teams and clients, preparing all forms, and meeting every deadline
- Comfort preparing business returns and 1040s
- The ability to explain tax issues clearly to volunteer board members and small-business owners
Nice to Have
~1 min read- A CPA license
- Experience with sales and use tax across more than one state
- Experience with state charitable registrations and franchise tax filings
- Experience with Form 990-T and unrelated business income
- Experience with youth sports, schools, or other membership-based nonprofits
- Experience in a high-volume practice with a large client base
- Familiarity with Intuit ProConnect, TaxDome, and QuickBooks
Most of our deadlines are nonprofit deadlines, which vary by each client's registered fiscal year.
We work in Intuit ProConnect for returns, TaxDome for client workflow, e-signatures, and powers of attorney, and QuickBooks for the books. You will work alongside our youth sports accountants and controllers, who each carry a small, defined set of clients, so you will know both the people and the books behind every return.
