About the Role

Comagine Health is seeking a Health Services Specialist to support our work in Oregon.

In this role, you will provide administrative and operational support to clinical teams responsible for coordinating and monitoring health care services. You will help manage referrals, schedule assessments, maintain records, perform data entry, monitor services under the direction of clinical staff, and communicate with recipients, providers, and members of the care team.

This position requires strong organizational skills, attention to detail, excellent communication, and the ability to successfully coordinate multiple priorities in a fast-paced, team-oriented environment.

Responsibilities

  • Coordinate initiatives, track and monitor progress, and establish timelines for delegated assignments.

  • Coordinate, organize, and maintain effective filing systems.

  • Develop and maintain documents, reports, templates, and other program materials.

  • Ensure records and business-sensitive information are appropriately developed, distributed, handled, retrieved, and archived.

  • Coordinate multiple simultaneous assignments while supporting the needs of the clinical team.

  • Schedule appointments with recipients, their support teams, and clinical staff.

  • Schedule face-to-face assessments and coordinate additional follow-up for Qualified Mental Health Professionals (QMHPs).

  • Receive referrals and requests for services from multiple sources, including phone, fax, SFTP, and mail, and coordinate requests with the appropriate team members.

  • Provide information and referral support.

  • Check general eligibility status as needed.

  • Monitor services under the direction of clinical staff.

  • Contact providers and recipients to help ensure services are being delivered in accordance with established Person-Centered Service Plans (PCSPs).

  • Notify case managers of discrepancies, service gaps, or other identified concerns.

  • Support the coordination and follow-up activities necessary to help individuals access authorized services.

  • Perform complex data entry and data management activities.

  • Enter requests, services provided, authorizations, and other required information into internal and external systems.

  • Document requests for case management services, limited to nonclinical data or structured clinical data.

  • Perform data entry using MMIS, Avatar, and EDMS.

  • Maintain accurate and timely documentation in applicable systems.

  • Provide administrative and operational support to QMHPs and other clinical team members.

  • Support Physicians and Physician Assistants providing utilization management (UM) services for OSH.

  • Assist the clinical team with scheduling, referrals, service requests, documentation, and other administrative activities necessary to support effective service delivery.

Requirements

  • High school diploma or GED.

  • 2 years of related work experience or customer service experience.

  • 1 year of work experience in health care.

  • Strong proficiency with Microsoft Office Suite and familiarity with database software programs.

  • Strong organizational skills.

  • Excellent oral and written communication skills.

  • Excellent interpersonal and problem-solving skills.

  • Ability to organize and coordinate multiple simultaneous tasks in a team environment.

  • Ability to make decisions in a timely manner.

  • Dedication to meeting the expectations and requirements of internal and external customers.

  • Ability to establish and maintain effective relationships with customers, gaining their trust and respect.

  • Post-secondary education or certification in a related field.

  • Experience working in a behavioral health clinical setting.

No specific licensure or professional certification is required for this position.
