TITOL™ is seeking a highly organized, detail-oriented Coordinator to support our Brand Management team across the day-to-day administrative and operational needs of our artist and brand projects.

This role is responsible for keeping the details behind our projects organized, documented, and moving forward. The Brand Management Coordinator will work closely with Brand Managers to ensure information is accurate, follow-ups are handled, and teams have the visibility they need to execute effectively.

The ideal candidate is an exceptional organizer and communicator who enjoys bringing structure to fast-moving environments. They are proactive, resourceful, comfortable with highly detailed and sometimes manual work, and take pride in making sure nothing falls through the cracks.

In-office 5 days/week with occasional travel or on-site support required. May involve weekend or extended hours during peak seasons. Very fast-paced and detail-driven environment, with a strong emphasis on communication, adaptability, prioritization, and proactive problem-solving.

  • Provide day-to-day administrative and operational support to Brand Managers across multiple artist and brand projects.
  • Maintain project trackers, spreadsheets, decks, recaps, and other working documents, ensuring information is consistently accurate and up to date.
  • Organize and summarize project details, action items, timelines, and outstanding needs so Brand Managers and cross-functional teams have clear visibility.
  • Help draft clear, detailed internal emails and project updates to communicate status, next steps, and outstanding items across teams.
  • Proactively follow up on open items and manage details upward, helping Brand Managers stay ahead of deadlines, deliverables, and potential issues.
  • Support Brand Managers with the administrative aspects of artist seeding programs and comps, including recipient lists, inventory tracking, shipping details, and status updates.
  • Manage seeding trackers and submit comp orders via Shopify, ensuring requests and shipments are documented accurately from start to finish.
  • Coordinate with internal teams, warehouses, and other partners as needed to execute product sends.
  • Maintain accurate records and proactively flag missing information, inventory discrepancies, or outstanding requests.
  • Prepare, code, organize, and submit Brand Manager expenses accurately and on time.
  • Help Brand Managers maintain clear records of project costs and outstanding financial items as projects progress.
  • Support Brand Managers with time-sensitive shipping needs, including packing boxes, preparing shipping labels, coordinating couriers, and tracking deliveries.
  • Assist with other hands-on administrative and operational needs as they arise, particularly during launches, tours, events, and other high-volume periods.
  • Maintain organized files, documentation, trackers, and project information across multiple concurrent projects.
  • Capture meeting notes, decisions, action items, and follow-ups to ensure relevant information is communicated to the appropriate teams.
  • Communicate clearly and professionally with internal teams and external partners when coordinating logistics, collecting information, or following up on outstanding items.
  • Anticipate administrative and operational needs before they become blockers and proactively bring solutions or questions to Brand Managers.

  • 1-3+ years of experience in an administrative support or project coordination role within music, entertainment, fashion, merchandise, or another fast-paced creative industry.

  • Exceptionally proactive, resourceful, organized, and detail-oriented, with a strong ability to manage multiple projects, deadlines, and streams of information simultaneously.

  • Strong written and verbal communicator who can turn complex or scattered information into clear, concise updates.

  • Highly proficient with spreadsheets, presentations, and collaborative working documents.

  • Positive, team-oriented attitude with a willingness to take on both administrative and hands-on operational tasks, understanding that no task is too small when it helps the team execute successfully.

  • Able to prioritize quickly and remain accurate in a fast-paced environment with constantly shifting needs.

  • Collaborative and service-minded, with an instinct for anticipating what teammates need and making their work more efficient.

  • Able to maintain professionalism, discretion, and confidentiality at all times.
