- Maintain accurate records and streamline certification trackers (Excel and MS Tracker).
- Consolidate folders and create a standardized system for all crews and subcontractors.
- Ensure every crew and individual has a complete and up-to-date certification on file.
- Validate incoming certifications (new hires, renewals, subcontractors) via QR codes or provider checks.
- Upload validated certifications into trackers and client portals.
- Communicate with safety teams and project managers to confirm compliance.
- Develop and update Standard Operating Procedures (SOPs) related to certification and safety processes.
- Write safety plans as needed
- Manage corrective actions plans and documentation
- Monitor Job Site Analysis (JSA) forms daily for completeness and compliance.
- Schedule required training courses for new hires.
- Support safety initiatives and safety projects as they arise and ensure adherence to company policies.
- Handle high-volume, time-sensitive tasks with patience and accuracy.
- Communicate effectively with leadership and project teams; proactively seek clarification when needed.
- Experience tracking and updating employee certifications in a construction environment
- Prior experience supporting and/or implementing safety initiatives and/or process improvements
- Experience writing safety plans and managing corrective action plans is a plus
- Prior experience creating SOPs in an office setting
- Must have advance skills with MS Office Outlook and Excel
- Strong organizational and multitasking abilities
- Excellent attention to detail and ability to manage repetitive tasks
- Ability to work independently and manage frequent interruptions while staying on task
- Familiarity with construction safety certifications (OSHA) – training will be provided if needed
