The Legal Assistant role at Hawk Injury Law is an opportunity to become an integral part of a team dedicated to client advocacy and legal excellence. This position supports attorneys and paralegals in providing outstanding legal services to personal injury clients. By ensuring organizational efficiency and proactive support, the Legal Assistant will directly contribute to the firm’s success and client satisfaction, creating a smoother experience for both the legal team and clients. This is a full-time, in-office position based in Macon, Georgia, working Monday through Friday from 9:30 AM to 5:30 PM.
Responsibilities
~2 min read- →Client & Case Management: Open new client files and matters, maintain accurate and organized case records, and communicate with clients by phone and email regarding case status, scheduling, and other case-related needs.
- →Third-Party Communication: Communicate professionally with insureds, third-party carriers, opposing counsel, and internal team members to support efficient case progression.
- →Correspondence & Document Preparation: Draft, type, transcribe, and prepare legal correspondence, pleadings, memoranda, reports, forms, Letters of Representation, demand letters, and other legal documents.
- →Quality Control: Thoroughly proofread documents for grammar, spelling, punctuation, formatting, accuracy, and content before submission or distribution.
- →Calendar & Deadline Management: Maintain attorneys' calendars and track appointments, filing deadlines, court dates, statutes of limitations, and other critical case obligations.
- →Scheduling Coordination: Coordinate and calendar meetings, hearings, depositions, mediations, arbitrations, conference calls, and court reporters.
- →Court & Litigation Support: Prepare and submit State and Federal court filings, including electronic filings, and work with platforms such as PACER, PeachCourt, Odyssey eFile, or comparable systems.
- →Administrative Support: Prepare new client and new matter forms and perform general administrative duties such as filing, scanning, scheduling, FedEx mailing runs, bank deposits, and other office errands as needed.
- →Incoming Communications: Serve as a primary point of contact for incoming client and third-party communications, ensuring calls are handled professionally, routed appropriately, and documented accurately.
- →Proactive Team Support: Identify tasks that require attention, anticipate the needs of attorneys and staff, and help move work forward without waiting for step-by-step direction.
- Legal Experience: 2+ years of litigation secretarial, legal assistant, or comparable legal support experience is preferred.
- Personal Injury Background: Experience working in a personal injury law firm is strongly preferred.
- Technology Proficiency: Proficiency with Microsoft Outlook is required. Experience with Clio or another legal case management system is strongly preferred.
- Court Filing Experience: Familiarity with State and Federal electronic filing systems, including PACER, PeachCourt, Odyssey eFile, or similar platforms, is highly valuable.
- Writing & Communication: Excellent written and verbal communication skills, with the ability to communicate professionally with attorneys, staff, clients, opposing counsel, carriers, and other third parties.
- Organization & Prioritization: Ability to organize and prioritize multiple assignments, deadlines, and competing responsibilities under time constraints with minimal supervision.
- Attention to Detail: Strong proofreading skills and a commitment to accurate, complete, and well-organized work.
- Initiative & Independence: Proactive, dependable, and comfortable identifying what needs to be done and taking ownership of responsibilities.
- Professionalism & Confidentiality: Positive attitude, sound judgment, and the ability to maintain a high level of confidentiality when handling sensitive client and firm information.
- Meaningful Client Impact: Support clients navigating serious injuries and challenging circumstances while helping ensure their cases receive organized and responsive attention.
