POSITION OVERVIEW
The Product Development Coordinator supports the Product Development team throughout the product development process, coordinating samples, supplier communication, costing, packaging, product information, and related documentation for all brands. This role is responsible for maintaining accurate and timely information across Monday.com, Sage X3, and other applicable systems, while following up with suppliers to keep development activities moving according to established timelines.
The Product Development Coordinator works closely with Product Developers, Design, Graphics, and suppliers to coordinate the flow of samples, quotes, packaging, product specifications, and other required information from initial development through product setup. Strong organization, attention to detail, follow-through, and the ability to manage multiple priorities are essential to ensuring products progress efficiently and accurately through the development process.
KEY FUNCTIONS & RESPONSIBILITIES
Product Development Coordination & Sample Tracking
- Set up and maintain product development information and tracking in Monday.com.
- Coordinate initial and sales sample requests with suppliers based on established development requirements and timelines.
- Monitor sample progress and proactively follow up with suppliers to ensure samples are delivered according to schedule.
- Maintain accurate shipment and tracking information in Monday.com.
- Receive, organize, and distribute incoming samples to the appropriate brand teams for review.
- Maintain an organized sample area and ensure sample packaging and shipping materials are appropriately disposed of or recycled.
Supplier Quotes & Costing
- Coordinate the distribution of quote sheet requests to suppliers following sample submissions and product development requirements.
- Monitor outstanding costing information and follow up with suppliers to ensure quote sheets are received within required timelines.
- Review quote submissions for completeness and identify missing information requiring follow-up.
Packaging Development & Coordination
- Coordinate the distribution of packaging artwork files to suppliers and maintain accurate status updates in Monday.com.
- Maintain packaging file information in Sage X3, including uploading new artwork file names generated through the Packaging board.
- Track packaging sample development and follow up with suppliers to ensure samples are received within established timelines.
Sales Sample Coordination
- Coordinate sales sample development following product approval and monitor progress through to receipt.
- Maintain accurate sales sample shipment and tracking information in Monday.com.
- Receive and organize sales samples, ensuring boxes are clearly identified and the corresponding status is updated in Monday.com.
- Coordinate requests for rep kit samples and product swatches based on sales and merchandising requirements.
- Monitor outstanding rep kit samples and swatches and follow up with suppliers as needed.
Product Information & System Maintenance
- Maintain accurate product information in Sage X3 throughout the product development process.
- Upload and maintain unit UPCs and inner/master GTINs.
- Enter and maintain required product site information.
- Update product status to “Active” once all required product information has been completed and verified.
Product & Carton Specifications
- Coordinate the collection of finished product weights and dimensions from suppliers.
- Enter and maintain accurate product weight and dimension information in the applicable systems.
- Collect inner and master carton weights and dimensions from suppliers.
- Maintain accurate carton specifications to support product setup, logistics, and operational requirements.
THE EXPERIENCE OF A STRONG CANDIDATE
- 1+ years of related work experience or combination of relevant education and experience
- Experience communicating with internal staff, the ability to communicate at a high level with overseas factories, and understanding the different communication styles required to be successful in both
- Keen interest in Fashion, Home decor, Textiles, Design, Cooking and Entertaining
- Previous experience in or a desire to learn about the housewares industry including textiles and ceramics
- Ability to manage multiple projects simultaneously and remain versatile in a fast-paced environment
- A solid understanding and proficient using PIM/PXM software and excellent data management skills.
- Completion of post-secondary education in ecommerce with a related diploma, degree, or certificate
- Strong MS office skills (Outlook, Excel, Word databases or related platforms)
- Ability to lift and unpack cartons of samples (up to 30 lbs)
- Excellent written and verbal English skills
- Strong organizational skills, with the ability to prioritize, operate proactively and work well independently
- Strong interpersonal skills and professional attitude
- Experience in wholesale or large chain retail environment an asset
