• Coordinate registration and logistics for the team's attendance at external conferences, trade shows, and industry dinners (badges, seats, sponsorship deliverables, dietary/attendee info, etc.).
• Track sponsorship costs, vendor invoices, and event-related spend against budget; flag discrepancies or upcoming payment deadlines.
• Arrange shipping of booth materials, collateral, and swag to event venues, and track shipments to confirm on-time arrival.
• Track event inventory remotely — monitor stock of swag and collateral, flag low supply, and coordinate reorders with vendors.
• Maintain the team's field events calendar, tracking registration deadlines, sponsorship commitments, and vendor payment/delivery timelines.
• Send reminders to traveling team members via Slack and email — covering upcoming deadlines, shipment status, sponsorship deliverables, and event prep tasks.
• Set up and monitor event registration pages where the company is sponsoring or exhibiting.
  
  
  
Marketing Operations Support (10%)
• Format and clean post-event lead spreadsheets for upload into HubSpot and Salesforce.
  
• Use templates to create event-related social graphics when needed.
