The HR Operations Coordinator supports the delivery of HR services through accurate, timely execution of high-volume employee lifecycle transactions and frontline HR support. This role is part of the HR Shared Services team and is responsible for coordinating employee preboarding, onboarding, and offboarding, records management, and coordinating employee services and discount programs. The HR Operations Coordinator is the primary point of contact for employee inquiries related to HR, managing questions through channels such as the HR hotline and HR Coordinator inbox. This role provides frontline HR support and ensures employee transactions are processed accurately, efficiently, and in compliance with company policies and applicable regulations. The HR Operations Coordinator helps identify and implement opportunities to improve processes, increase efficiency, and support continuous improvement efforts within HR.
This is a hybrid position working 2-3 days in the Wakefield MA office. Travel to Brockton, MA 2-3 days a month may be required.
Responsibilities

Communicate with new hires and their managers regarding critical Day One information.
Order badges and technology.
Ensure I-9 and E-Verify requirements are completed accurately and timely.
Manage the logistics of New Colleague Orientation, including attendee communications, room setup, catering, materials, and orientation gifts.
Ensure offboarding activities are completed accurately and in accordance with established procedures.
Communicate with employees separating from the Bank and their managers.
Coordinate equipment returns with Technology.
Respond to unemployment claims.
Manage employee discount programs and serve as the primary contact for external vendors.
Send employee announcements.
Coordinate floral and gift arrangements for employees and their families following births and deaths.
Ensure employee records are maintained in compliance with record retention policies and applicable regulations.
Create, maintain, and audit electronic employee files and respond to records requests in a timely manner.
Serve as the primary owner of the HR Operations shared email inbox and calendar, responding to inquiries with accuracy and urgency.
Serve as the first point of contact for HR inquiries, resolving issues whenever possible and escalating matters as appropriate.
Process invoices and ensure timely submission.
Order and manage office supplies as needed.
Serve as one of the front desk staff on an assigned desk day.
Provide backup support for the HR Operations Specialist.
Contribute to process improvement initiatives to enhance operational effectiveness and efficiency within HR Operations.
Requirements
~1 min readHigh school diploma required; Associate's degree preferred.
3-5 years of progressive administrative experience, preferably in HR operations or HR shared services.
Experience working in an HR Shared Services environment highly preferred.
Experience supporting employee lifecycle transactions, including onboarding, employment changes, and offboarding activities, preferred.
Proficient in Microsoft Office Suite (Outlook, Excel, and PowerPoint) and Oracle HR systems or similar HRIS platforms.
Ability to develop strong working relationships and maintain confidentiality with sensitive employee information.
Strong organizational and time management skills with the ability to manage multiple priorities.
Effective verbal and written communication skills.
Ability to manage high-volume, detail-oriented tasks.
Effective problem-solving skills with a strong sense of urgency.
Follow-up, follow-through, and timely resolution skills.
Demonstrated commitment to providing exceptional customer service and resolving employee inquiries professionally and efficiently.
