Job Title: Operations Coordinator II

Reports to: Director of Operations

Status: Part-TIme, Non-Exempt

Hours: 18-25 hours per week  

Hourly Rate: $15-$17 Depending on Experience   

Position Summary:

The Operations Coordinator II plays a vital role in ensuring smooth day-to-day operations at the Don Harrington Discovery Center. This position oversees key visitor services functions such as the Gift Store and Café, manages memberships and volunteers, and supports special programs and financial tasks. The Coordinator also serves as a frontline leader, helping provide a seamless, high-quality experience for all DHDC guests.


Key Responsibilities:

  • Visitor Experience:
    • Serve as manager on duty by supervising shift tasks for the visitor experience team. 
    • Rotating Saturday MOD shift. 
    • Enforce expectations for the visitor experience and education team including exceptional customer service, punctuality participation, and guest engagement. 
    • Communicate relevant issues, guest and staff feedback, successes, and more with the entire DHDC.WBNC team through daily communique emails and other notifications as needed.
    • Assist and support educational programs, special events, demonstrations, camps, birthday parties, and facility rentals by supporting setup, cleanup, and guest coordination. Manage activity stations, troubleshoot issues, and ensure a positive and enjoyable experience for all participants.
  • Memberships & Volunteers:
    • Assist with DHDC membership program, including sales, renewals, and member communication.
    • Recruit, schedule, and support volunteers for regular operations and special events.
  • Event Coordination:
    • Assist with booking and confirming birthday parties, including but not limited to coordinating schedules, party hosts, supplies, cake ordering/pick-up and setup.
    • Assist in the setup and support of special events and programs, including Wildcat Bluff shifts and after-hours events.
    • Assist with school reservations and communications.
  • Operations & Administrative Support:
    • File and organize vendor and operational invoices.
    • Process and complete change orders as needed.
    • Assist the Front Desk team as needed.
    • Maintain accurate records and reports related to reservations, and attendance.
    • Assist in evaluating and improving visitor experience processes.
    • Support marketing and outreach efforts for upcoming programs and events.
    • Conduct inventory checks and supply ordering for birthday and front desk needs.
    • Support the Front Desk (FD) team as needed, including assisting with admissions and visitor inquiries.
    • Respond to donor inquiries and process donation intakes.

Qualifications:

  • High school diploma or equivalent; some college preferred in business, hospitality, or a related field.
  • 1+ years of experience in customer service, retail, or operations coordination.
  • Experience working with volunteers and/or event coordination is a plus.
  • Strong communication, organizational, and multitasking skills.
    Proficient in Microsoft Office Suite; familiarity with POS systems and membership databases is helpful.
  • Willingness to work flexible hours, including weekends, holidays, and evenings as needed.

Physical Requirements:

  • Must be able to stand and walk for long periods and lift up to 50 pounds.

Ability to work in an active, family-oriented environment with frequent guest interaction.
