The Assistant Project Manager / Project Engineer provides critical administrative and operational support to the project management team throughout the lifecycle of civil construction projects. This position is responsible for project documentation, submittal management, scheduling support, procurement coordination, subcontractor communication, and material delivery tracking to help ensure projects are executed efficiently and successfully.
This role serves as a key liaison between project managers, field operations, subcontractors, suppliers, and clients. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment.

Key Responsibilities
Project Administration & Documentation
- Maintain project files, logs, correspondence, and construction records.
- Assist with contract administration and project documentation requirements.
- Prepare and track Requests for Information (RFIs), submittals, change documentation, and other project records.
- Coordinate document distribution between owners, engineers, subcontractors, suppliers, and project teams.
- Ensure project documentation is complete, accurate, and maintained in accordance with company procedures.
Submittals & Procurement
- Manage the submittal process from preparation through final approval.
- Coordinate procurement activities for project materials and equipment.
- Obtain and review vendor quotes and supplier information.
- Track material lead times and ensure procurement schedules align with project needs.
- Work closely with suppliers and vendors to ensure timely deliveries.
Scheduling & Project Coordination
- Assist in developing and maintaining project schedules using Microsoft Project or similar scheduling software.
- Monitor project milestones and provide updates to project management teams.
- Coordinate with field personnel to ensure schedules remain current and realistic.
- Support planning efforts by identifying upcoming material, labor, and subcontractor needs.
Subcontractor Management
- Solicit and coordinate subcontractor participation during project execution.
- Maintain communication with subcontractors regarding scope, schedule, safety requirements, and project expectations.
- Assist in tracking subcontractor compliance documents and project deliverables.
- Follow up on outstanding commitments to help keep projects on schedule.
Team Support
- Participate in project meetings and prepare meeting agendas and minutes.
- Develop strong working relationships with clients, engineers, subcontractors, suppliers, and field personnel.
- Demonstrate strong communication, organizational, and problem-solving abilities.
Basic Qualifications
- Bachelor's degree in Construction Management, Civil Engineering, Construction Engineering, Business Management, or related field; equivalent construction experience may be considered.
- 3-5 years of experience in construction project coordination, project engineering, project administration, or related roles.
- Experience supporting infrastructure, utility, or civil construction projects preferred.
- Working knowledge of construction documents, specifications, and contract requirements.
- Experience with scheduling software such as Microsoft Project or Primavera P6 preferred.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Experience with Bluebeam or similar document management software preferred.
- Strong organizational and time management skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Self-motivated, detail-oriented, and collaborative team player.
- Commitment to safety, professionalism, ethics, and integrity.
Preferred Qualifications
- Experience working on civil, bridge, underground utility, water, wastewater, transportation, or infrastructure projects.
- Experience coordinating procurement, submittals, and project schedules.
- Understanding of project budgeting and cost tracking processes.
Physical Demands & Work Environment
This position is primarily office-based and requires frequent computer use, document review, and communication with project stakeholders. Occasional visits to project sites may be required to support project coordination activities. Site visits may involve walking on uneven terrain and the use of personal protective equipment (PPE).
