The Health Sciences Department Coordinator must:

  • →Have a minimum of a bachelor’s degree in Public Health, Nutrition, or a related field.
  • →Have a minimum of five years of progressively responsible administrative or operational experience, preferably in higher education or health professions education.
  • →Have demonstrated proficiency with data reporting and integrated enterprise systems (Workday or equivalent).
  • →Have experience supporting programmatic accreditation or experiential placement.
  • →Demonstrate strong interpersonal, communication, organizational, and analytical skills, with accuracy and confidentiality in record-keeping.

The Health Sciences Department Coordinator responsibilities include, but are not limited to:

  • →Owns day-to-day academic operations for the Department of Health Sciences, including course scheduling, catalog administration, and syllabus template administration.
  • →Supports Program Directors with enrollment tracking, student records, and program-level reporting.
  • →Manage logistics for DrPH program residency
  • →Coordinates faculty operational records, including workload data, credentialing, and qualification documentation.
  • →Administer and maintain Workday processes related to student advising, including coordinating advisor assignments and support advisor-related updates.
  • →Serves as operational liaison for the department to central University offices, including the registrar, admissions, and institutional research, across the N. Benson, Austin, and Bellarmine campuses.
  • →Provide administrative and logistical support for in-person academic and student events, include the Academic Exploration Fair, graduation events, research symposia, and related programming
  • →Update and maintain program materials, including program factsheets, list of PH minors, electives, and other student-facing resources.
  • →Coordinate honor society processes, including ordering certificates, maintaining lists of eligible students, and supporting related student recognition activities.
  • →Supports faculty searches, with logistics management, travel planning, interview scheduling, and search committee communications.
  • →Serves as operational liaison for the department to central University offices, including the registrar, admissions, and institutional research, across the North Benson and Austin campuses.
  • →Maintains departmental records, distribution lists, and program documentation; onboards and directs work study students and temporary administrative personnel.
  • →Maintains program data on an ongoing cycle, including completion, credentialing, certification, and outcome data, supporting programmatic accreditation and institutional reporting.
  • →Assembles and maintains the documentation trail for accreditation review, including data tables, evaluation records, and source documentation, so that reporting is prepared on a cycle rather than reconstructed at deadline.
  • →Prepares student onboarding, affiliation agreements, and logistics management for experiential learning of Health Sciences program students, in coordination with the Assistant Dean of Experiential Learning.
  • →Generates reports on enrollment, progression, completion, and outcome trends at the request of Department and School leadership.
  • →Coordinates logistics and communication for department and program stakeholder forums.
  • →Coordinates and completes surveys as necessary for accreditation and the operation of the school.
  • →Works with the Dean, Associate Deans, Program Directors, and administrative staff to prepare for accreditation site visits.
  • →Owns target placement tracking for Health Sciences experiential requirements, forecasting internship, fieldwork, and clinical rotation needs against secured site capacity and identifying gaps ahead of each term.
  • →Manages fieldwork and partner site relationships, serving as the operational point of contact and sustaining the partner pipeline that meets program placement demand.
  • →Maintains the record of Health Sciences placement sites and student placements by program, location, and term.
  • →Coordinates with the Student Success Coordinator on shared partner sites through a common partner registry, so that external partners engage with a single designated relationship owner.
  • →Supports student placement readiness and related compliance and onboarding documentation in coordination with the Division of Student Success.
  • →Provides governance and committee support for Department and curriculum bodies, including agendas and action item tracking and resolution.
  • →Manages program events, advisory meetings, external accreditor, and partner visits.
  • →Tracks program budgets and expenditures and supports grant-related reporting, as assigned.
  • →Provides shared administrative support, including room reservations and facilities ticket requests.
  • →Represents the department and the Egan School with professionalism, efficiency, and courtesy, consistent with the Jesuit mission of Fairfield University.
  • →Provides support to other Departments and the Divisions of Student Success, as requested.
  • →Contributes to the School by accomplishing related tasks, as needed and requested.
