Intern for HCMC Touring

In this role, you'll be responsible for coordinating tour documentation, preparing tour materials, supporting transportation arrangements, and assisting with customer service activities. Your contribution will be essential in ensuring tour guides, tour leaders, and customers receive the support they need for a smooth and memorable travel experience.

• Review weekly guide assignments and prepare tour documentation for guides and tour leaders.
• Extract itineraries, cash advance forms, and other required documents from Tourplan.
• Print, organize, and distribute tour documents to the Touring Team.
• Prepare tour materials and operational supplies, including:
  • Welcome boards
  • Refillable water bottles
  • Eco-napkins
  • First-aid kits
  • Electric pumps and other tour essentials
• Ensure all tour preparation activities are completed accurately and on time before departure.
• Process guide and tour leader payments upon tour completion.

• Assist with transportation bookings as required.
• Contact hotels to reconfirm customer pick-up times and logistics arrangements.
• Support airport transfers and emergency pick-up arrangements when needed.
• Work closely with the Touring Team to ensure smooth day-to-day tour operations.

• Conduct customer welcome calls and provide pre-tour support.
• Assist with incident reporting and issue resolution.
• Provide emergency support to customers when required.
• Contribute to delivering exceptional customer experiences throughout the journey.

We're looking for someone who is highly organized, proactive, and passionate about delivering outstanding service.

• Fluent in both written and spoken English and the local language.
• Proficient in Microsoft Office applications.
• Previous experience using Tourplan is an advantage.
• Experience in tourism, travel operations, administration, or customer service is preferred.

• Passionate about delivering excellent customer experiences.
• Strong customer service mindset with a solutions-oriented approach.

• Excellent administrative and coordination skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced environment.

• Strong verbal and written communication skills.

• Able to remain calm and make sound decisions in unexpected situations.

• Comfortable working under pressure and managing changing priorities.
• Flexible to support operational needs outside standard business hours when required.
• Willing to travel for business when necessary.
