Position Title: Item Processing and Imaging and Mail Services Coordinator
Business Unit: Operations
Reports to: Manager of Item Processing and Imaging & Mail Services

Position Overview:
The Item Processing Imaging and Mail Services Dual Coordinator supports the daily operations of two high-volume processing departments, ensuring the accurate and timely processing of items, imaging activities, and mail services. This role monitors workflow volumes, balances workloads, maintains production schedules, resolves operational issues, and ensures compliance with bank policies, procedures, and regulatory requirements. The incumbent serves as an escalation point for staff questions, supports training, assists with quality control and helps to meet service and performance standards.

Primary Responsibilities:
Coordinates and monitors departmental workflow, adjusts staffing and schedules to meet production demands, and ensures critical and high-risk tasks are prioritized and completed to minimize operational risk and customer impact.

Coordinates departmental reporting and tracking activities, ensures data accuracy, supports process improvements, and monitors compliance with document retention and records management requirements.

Serves as the department subject matter expert and primary escalation point, providing guidance on processing issues, researching exceptions, troubleshooting complex situations, and supporting staff with operational questions.

Supports business continuity and disaster recovery activities, ensures compliance with bank policies and regulatory requirements, and maintains accurate, up-to-date departmental procedures and process documentation.

Serves as the department's operational lead in the absence of management, supporting workflow continuity, escalating unresolved issues, coordinating testing for system enhancements, and assisting with bank projects, mergers, and acquisitions.

Coordinates and delivers employee training, maintains procedures and job aids, supports cross-training initiatives, and assists with process documentation and annual procedure reviews.

Provides input to supervisory on employee performance, communicates recurring operational issues, supports team meeting initiatives, and promotes the Bank’s core values and customer service standards through daily actions.
Performs other related duties and projects as assigned.
