SAP Template Rollout Program Assistant (m/f/d) - limited to 2 years

As SAP Template Rollout Program Assistant, you support the program management team in the organizational, administrative and operational delivery of an international SAP template and rollout program. You coordinate across workstreams, PMO, rollout teams and internal and external stakeholders, helping to ensure structured and reliable program execution.​

• →Project and Meeting Coordination
• →Coordinate meetings, workshops and project schedules
• →Prepare meeting rooms, presentations, catering and technical equipment
• →Manage calendars, business travel and visa applications where required
• →Support the preparation and follow-up of project and governance meetings
• →Administrative Support
• →Manage team administration and the central digital filing structure
• →Coordinate onboarding, role changes and offboarding for internal and external team members
• →Support purchase orders, supplier setup, invoice checks and time recording
• →Coordinate suppliers, service providers and required project or system access
• →SAP Rollout and Program Coordination
• →Maintain rollout, country, site, resource and milestone overviews
• →Consolidate and follow up on status updates, deliverables, dependencies and readiness activities
• →Coordinate recurring inputs from workstream, country and site leads
• →Provide organizational support for fit-to-template workshops, testing, training, cutover and hypercare
• →Governance, Reporting and Communication
• →Prepare governance meetings, agendas, materials and management presentations
• →Maintain action, risk, issue, dependency and decision logs, including owners and due dates
• →Consolidate program status information and follow up on overdue inputs and actions
• →Maintain program documentation, templates, stakeholder lists and communication channels
   

• At least five years of experience in an administrative or assistant role, ideally in an international project environment
• Experience supporting project management teams or PMO structures; exposure to ERP or transformation programs is an advantage
• Basic understanding of SAP project phases and rollout terminology
• Strong organizational skills, ownership and a structured, proactive working style
• High attention to detail and reliability in tracking responsibilities and deadlines
• Confident use of PowerPoint, Excel, Teams and SharePoint; experience with PMO tools is an advantage
• SAP knowledge, particularly ARIBA experience, is desirable
• Professional communication skills in English and German and confidence working across cultures and time zones
• Office presence: At least three - four days per week in Bad Homburg
