The Senior Facility Management Associate is responsible for the effective coordination and maintenance of the Company's offices, workspaces and rented facilities. The role will support the Admin Manager in managing office setups, lease and rent administration, furnishings, repairs, maintenance, utilities, facility vendors and general workplace standards across the Company's locations. The role ensures that all offices are functional, safe, well-maintained, cost-effective and fit for purpose, while providing employees with a conducive working environment. Roles and Responsibilities A. Office Setup & Workplace Readiness Coordinate the setup of new offices, branches and work locations, including furniture, fittings, utilities, signage and other facility requirements. Conduct pre-opening and post-setup inspections to ensure locations are ready for use. Coordinate office moves, expansions, renovations and workspace reconfiguration. Maintain an updated inventory of office furniture, fittings, equipment and facility assets. Ensure office spaces are appropriately furnished and aligned with approved workplace standards. Coordinate the installation and maintenance of basic workplace infrastructure, including lighting, power, water, internet and other essential services. B. Rent & Lease Administration Maintain an up-to-date database of all rented office locations, including landlords, lease terms, rental values, renewal dates and other relevant obligations. Monitor lease and rent expiry dates and provide timely reminders to the Admin Manager. Coordinate rent renewals and other landlord-related documentation. Support negotiations with landlords and property representatives as required. Ensure required documentation relating to office premises is properly filed and maintained. Track facility-related payments and work with Finance to ensure timely processing of approved rent, service charges and other property-related expenses. Maintain a calendar of upcoming lease renewals, rent reviews and other contractual obligations. C. Facilities Maintenance Coordinate preventive and corrective maintenance across all Company office locations. Conduct regular facility inspections to identify maintenance, safety and environmental issues. Log, track and follow up on maintenance requests until resolution. Coordinate repairs involving electrical systems, plumbing, air conditioning, furniture, fixtures, generators, office equipment and other facility infrastructure. Ensure maintenance activities are completed within agreed timelines and quality standards. Maintain maintenance records for all office locations. D. Vendor & Contractor Management Coordinate facility-related vendors, contractors, technicians and service providers. Obtain and compare quotations for facility-related works and services in line with Company procurement procedures. Monitor vendor performance, service quality and adherence to agreed timelines. Maintain an updated database of approved facility vendors and service providers. Escalate recurring vendor performance issues to the Admin Manager. Support periodic vendor reviews and cost optimization initiatives. E. Office Utilities & Services Monitor office utility requirements, including electricity, water, internet, waste management, cleaning and security services. Track consumption and identify opportunities for cost reduction and efficient resource utilization. Ensure essential services are available and operational across office locations. Coordinate resolution of utility disruptions and escalate critical issues promptly. F. Health, Safety & Workplace Standards Support the implementation of workplace health, safety and environmental standards across office locations. Conduct routine checks to identify potential workplace hazards. Ensure fire safety equipment, emergency exits and other basic safety requirements are maintained. Coordinate periodic servicing and inspection of safety and facility equipment. Report facility-related safety risks to the Admin Manager and relevant stakeholders. Support emergency preparedness and business continuity arrangements relating to office facilities. G. Facility Budget & Cost Management Support the preparation and monitoring of the facilities and office administration budget. Track facility-related expenses against approved budgets. Identify opportunities to reduce maintenance, rent, utilities and other facility costs without compromising workplace quality. Support cost comparisons and business cases for major facility projects. Ensure facility expenditure is properly documented and approved. H. Documentation & Reporting Maintain accurate records of office leases, rent payments, maintenance activities, vendor contracts, facility assets and service agreements. Prepare periodic facility management reports for the Admin Manager. Maintain a facilities tracker covering office locations, maintenance issues, lease dates, vendors and outstanding actions. Provide timely updates on critical facility risks, maintenance issues and upcoming requirements. Ensure facility documentation is organized and readily accessible for audit and management review. I. Employee Support & Workplace Experience Respond to employee concerns relating to office facilities and workplace conditions. Coordinate resolution of facility-related employee complaints and requests. Ensure offices remain clean, functional, comfortable and conducive to productivity. Work with HR and other relevant teams to support office events, employee engagement activities and workplace initiatives. Requirements Bachelor's degree or HND in Facilities Management, Estate Management, Business Administration, Engineering, Administration or a related discipline. Minimum of 4-5 years' experience in facilities management, office administration, property management or a related role. Experience managing multiple office locations is an advantage. Experience coordinating contractors, maintenance vendors and service providers. Basic understanding of lease/rent administration and property documentation. Good working knowledge of Google Workspace and facility tracking tools. Experience working in a fast-paced or multi-location organization is an advantage. Certifications: Credentials like IFMA's Certified Facility Manager (CFM) is an added advantage.
