As our Talent Acquisition Operations Specialist, you’ll be part of the team that will help establish our APAC TA Hub and shape how we support recruitment across the region. You’ll work with recruiters, hiring managers, candidates and HR colleagues across countries and cultures, using your language skills and operational expertise to keep hiring moving.
From coordinating interviews to improving workflows, your work will make the recruitment experience smoother for everyone. You’ll give recruiters more time to focus on people, while helping candidates feel informed and supported throughout their journey.

Responsibilities
~1 min read- Manage requisition workflows, from completeness checks and job postings to updates and closures, following approved processes.
- Keep candidate records and recruitment stages accurate and up to date in Workday and other approved systems.
- Stay on top of outstanding actions, approvals and documentation, flagging delays before they become bigger issues.
- Make handoffs between recruiters, hiring teams and HR operations clear and seamless.
- Coordinate interviews across countries
- Arrange interview panels, virtual meetings and clear candidate instructions.
- Keep candidates and interviewers informed about schedules, changes and next steps.
- Follow up on interview feedback and outstanding actions to maintain momentum.
- Resolve everyday scheduling challenges independently and involve the right partners when issues need additional support.
- Communicate confidently and professionally in English and Mandarin and/or Cantonese for assigned recruitment activities.
- Support candidate inquiries, scheduling and administrative follow ups in the appropriate language.
- Partner with country HR Partners to ensure communications are clear, culturally appropriate and relevant to the local market.
- Connect with country teams when a request requires language expertise beyond your own.
- Maintain integrity of recruitment data
- Track turnaround times, workload, outstanding cases and rework against agreed service levels.
- Prepare operational reports and highlight recurring delays or opportunities for improvement.
- Carry out quality checks and help resolve issues at their source.
- Protect candidate and employee information in line with company privacy, security and records retention requirements.
- Take an active role in process mapping, knowledge transfer, pilot activities and country onboarding.
- Create practical process guides, checklists, standard operating procedures and communication templates.
- Bring ideas that simplify workflows, reduce manual effort and improve service quality.
- Help test approved system enhancements and automation initiatives.
- Share your knowledge and provide process guidance to Hub colleagues, including contractors, as assigned by the Lead.
- Support cross training and clear documentation so the team can provide reliable coverage.
Requirements
~1 min read- A bachelor’s degree in Human Resources, Business Administration, Psychology or a related field, or equivalent relevant experience.
- Five or more years of experience in recruitment coordination, talent acquisition operations, HR operations or shared services.
- Professional fluency in English and Mandarin and/or Cantonese, with strong business communication skills.
- Ability to read and prepare Simplified and Traditional Chinese recruitment communications appropriate to your assigned market scope.
- Experience coordinating recruitment activities across multiple stakeholders and locations
- Practical experience with an applicant tracking system or HR information system.
- Strong organizational skills and attention to detail, with the ability to manage competing priorities.
- Sound judgment, discretion and care when handling confidential information.
- Proficiency in both Mandarin and Cantonese
- Experience supporting APAC recruitment or working in a regional shared services team.
- Familiarity with Workday Recruiting or similar recruitment platforms.
- Experience with operational reporting, service level tracking and data quality reviews.
- Exposure to process transitions, shared services implementation or continuous improvement projects.
