This position offers a hybrid work schedule (requiring 3 days onsite work with option to work remote 2 days/week).
Own the end-to-end procurement, sourcing, and order administration for Store Development fixture packages and related store-opening and remodel purchases across Fielmann USA. The role supports new stores plus any store remodel program and is accountable for translating approved fixture plans and project schedules into accurate, complete, competitively sourced, and timely orders. This position combines strategic procurement with detailed project execution: forecasting demand, running RFQs/RFPs, leveraging bulk purchasing, negotiating supplier terms, validating every order, coordinating production and delivery, and resolving exceptions before they affect construction or opening dates.
Responsibilities
~1 min read• Forecast fixture and related Store Development demand for new store growth and remodel program
• Maintain a rolling procurement plan tied to Store Planning release dates, construction schedules, remodel calendars, vendor lead times, production capacity, freight, site readiness, and opening dates
• Aggregate requirements across stores to identify bulk-buy opportunities, blanket purchase orders, phased releases, committed production capacity, and consolidated freight strategies
• Identify long-lead items, supply constraints, pricing changes, and vendor-capacity risks early; recommend buy-ahead, alternate sourcing, or schedule mitigation when needed
• Partner with Store Planning, Construction, Store Development Finance, and Facilities to confirm scope and release readiness before purchasing commitments are made
• Develop clear RFQs/RFPs that define specifications, quantities, delivery requirements, service expectations, commercial terms, and evaluation criteria
• Identify and pre-qualify suppliers capable of supporting a multi-store retail development program with consistent quality, capacity, and delivery performance
• Create bid-leveling and supplier-comparison analyses so proposals are evaluated on equivalent scope and documented criteria
• Confirm suppliers understand the complete requirement before award, including approved drawings/specifications, finishes, packaging, freight, installation interfaces, lead times, and project-specific delivery conditions
• Maintain clear documentation of supplier proposals, clarifications, approvals, and final sourcing decisions
• Evaluate total delivered cost — not unit price alone — including product cost, freight, storage, packaging, minimum order quantities, warranty, lead time, service requirements, payment terms, and other relevant cost drivers
• Use annual and multi-project demand to negotiate volume tiers, bulk-purchase discounts, rebates, freight programs, production slots, and other commercial advantages
• Negotiate and maintain competitive pricing and terms while protecting quality, schedule, and design standards
• Track price changes, purchasing variances, savings, and cost avoidance; challenge unsupported increases and recommend alternatives when appropriate
• Partner with Store Development Finance to align purchase commitments with approved capital budgets and project forecasts
• Build and maintain effective working relationships with Store Planning, Construction, Store Development Finance, Facilities, Operations, Accounting/AP, and other internal stakeholders
• Develop collaborative but accountable supplier relationships focused on quality, service, responsiveness, cost, and delivery reliability
• Communicate procurement status, risks, long-lead items, decisions required, and vendor issues clearly and early to project teams and leadership
• Exercise sound judgment and the confidence to hold an order when specifications, quantities, approvals, pricing, or delivery requirements are incomplete or inconsistent
• Treat suppliers professionally and consistently while preserving the Company’s commercial interests and procurement standards
• Own the procurement critical path from approved fixture package through PO release, supplier acknowledgement, production, shipment, delivery, shortage/damage resolution, invoice reconciliation, credits, and closeout
• Validate every order before release, including item number, description, dimensions/specifications, finish, quantity, project/store, approved price, coding, ship-to location, requested delivery date, and required-on-site date
• Maintain a master purchasing tracker by store and vendor showing requisitions, purchase orders, acknowledgements, production status, ship dates, deliveries, shortages, damage, replacements, returns, credits, and open issues
• Proactively resolve backorders, late shipments, incorrect product, shortages, damage, substitutions, and expedite needs before they affect construction, installation, remodel completion, or store opening
• Reconcile orders, changes, receipts, invoices, credits, and open commitments and confirm each project is complete before turnover and closeout
• Establish and follow disciplined controls designed to prevent missed orders, duplicate orders, incorrect quantities, wrong specifications or finishes, unauthorized substitutions, and avoidable premium freight
• Release purchase orders only after confirming approved scope, quantities, pricing, project coding, delivery requirements, and applicable capital authorization
• Use independent verification and documented checklists for high-dollar or high-complexity fixture packages; errors should be identified before release, not after product is manufactured or shipped
• Maintain complete, audit-ready support for quotes, approvals, purchase orders, revisions, vendor acknowledgements, delivery records, returns, credits, and closeout
• Track supplier performance using on-time delivery, order accuracy, quality, responsiveness, defect/damage rates, lead-time adherence, and issue-resolution metrics
• Escalate material cost, schedule, supplier-capacity, or order-integrity risks immediately with a clear owner and required action
Requirements
~2 min read• Bachelor’s degree in business administration, supply chain management, or related field. An alternative degree with equivalent education, experience, and training may be considered
• 5-7 years of related experience in procurement, purchasing, strategic sourcing, subcontract administration, or contract administration; multi-site retail or Store Development experience strongly preferred
• Experience with store fixtures, millwork, furniture/FF&E, retail construction, or Store Development purchasing strongly preferred
• Strong strategic sourcing, RFQ/RFP, bulk-purchasing, supplier-evaluation, total-cost analysis, and vendor-negotiation skills
• Demonstrated ability to evaluate pricing, volume commitments, freight, lead times, production capacity, and total delivered cost to make sound purchasing decisions
• Ability to interpret fixture schedules, product specifications, basic construction/store-planning documents, and project schedules
• Exceptional attention to detail and demonstrated ability to manage item-level specifications, quantities, dates, project coding, and financial commitments with a high degree of accuracy
• Strong analytical, organizational, problem-solving, project-management, and prioritization skills with the ability to manage multiple deadlines simultaneously

• Able to lift 10 to 20 pounds
• Able to view/read computer screen for extended periods of time
• Able to work normal and/or extended (evenings, nights, and weekends) office hours to meet established deadlines
• Able to travel independently to support Company objectives and personal development
