As Executive Assistant to the CEO, you will serve as the operational right hand to Imprint's Founder and CEO at a pivotal stage of the company's growth. This is a high-ownership, high-trust role that exists to create meaningful leverage for the CEO by managing complexity, protecting their focus, and ensuring the company's operating rhythm runs without friction.
You will act as a strategic partner and force multiplier — anticipating needs before they arise, making sound judgment calls on behalf of the CEO, and ensuring that nothing falls through the cracks across a fast-moving, high-stakes environment.
This role is based in New York City and requires in-office presence aligned with the CEO's schedule.
Fully owns the CEO's calendar with minimal ramp — making confident prioritization calls independently
Established as a trusted gatekeeper and liaison by internal teams, board members, investors, and external partners
All board meetings, investor meetings, and partner events run seamlessly with zero logistical gaps
Travel logistics are managed proactively with contingency plans in place before they're needed
A reliable system exists to track and close every action item and commitment from the CEO's meetings
Has identified and implemented at least one meaningful improvement to how the CEO's office operates
Responsibilities

Own and optimize the CEO's calendar end to end — balancing internal meetings, board commitments, investor conversations, partner meetings, and protected focus time across multiple time zones

Coordinate all logistics for board meetings, investor meetings, and partner events including materials preparation, attendee communications, room setup, travel, and follow-up

Manage all domestic and international travel end to end — flights, hotels, ground transportation, itineraries, and backup plans

Serve as a trusted gatekeeper and liaison between the CEO and internal teams, investors, board members, and external stakeholders

Track and drive closure on action items, commitments, and deliverables that emerge from the CEO's meetings and conversations

Support key company moments — all-hands meetings, leadership offsites, major announcements — by owning logistics and ensuring smooth execution

Draft emails, messages, and documents on behalf of the CEO that reflect the CEO's voice and standards

Proactively identify and implement improvements to how the CEO's office operates — better systems, tools, and workflows that reduce friction and create more leverage

Support light personal tasks as needed during high-intensity periods to keep the CEO focused on the business
Requirements
~1 min readDemonstrated track record of supporting a CEO, Founder, or C-suite executive at a fast-paced, high-growth company — with clear accountability for keeping a complex operation running
Experience managing high-volume, high-stakes calendars and travel logistics across multiple time zones
Exceptional organizational skills — a proven system for managing complexity and ensuring nothing slips
Impeccable judgment and discretion with sensitive, confidential information across all areas of a business
Strong written and verbal communication skills, including the ability to draft on behalf of an executive in their voice
High ownership orientation — sees what needs to happen and makes it happen without waiting to be told
Comfortable operating in ambiguity and rapidly shifting priorities; adapts quickly and keeps everything moving
Proficiency with modern productivity tools including Google Workspace, Slack, and Notion; ability to quickly adopt new and AI-powered workflows
Nice to Have
