The Role
The Billing Specialist I owns defined billing workflows at Indeed Flex and is accountable for making sure client invoicing complies with rate, tax and invoicing rules. Working at the intersection of Money, Revenue, and Operations and Support, the role has two parts. The Specialist stays hands-on with day-to-day billing, such as consolidating data sources, raising accurate invoices and resolving client queries. They also investigate billing discrepancies and process friction to find their root cause, and document those findings with enough evidence for the business to act on them. The position supports strong financial controls, contributes to month-end reporting, and helps billing scale in a fast-paced, high-volume environment.
What you’ll be doing
- Own defined billing workflows, such as a client segment, invoice run, credit card billing or weekly reconciliation. Be accountable for whether outcomes comply with rate, tax and invoicing rules.
- Raise accurate, complete and timely client invoices by consolidating time and attendance (T&A), rate and worker pay data, and resolve client billing queries efficiently.
- Raise invoices for credit card customers and work with credit card providers to make sure data is captured correctly.
- Run the weekly reconciliation of portal client data and invoicing data against worker pay and timesheets.
- Make sure clients are set up and maintained correctly in billing systems, including rates, tax treatment and billing details.
- Investigate billing discrepancies independently until you find the root cause, resolve them within your level of authority, and document pain points and control gaps with enough evidence for others to act.
- Balance live billing work with analysis, and stay close enough to day-to-day billing to confirm whether process and tooling changes actually work.
- Improve how discrepancies are handled: clearer root causes, correct adjustments and credit notes, and fewer repeat exceptions.
- Protect billing SLAs and invoice-run timelines during volume spikes and month-end without dropping either operational or analytical work.
- Map workflow and system friction across ACP/OMS, NetSuite, Salesforce and related tools clearly enough for others to act on it, and contribute requirements and failure-mode evidence that shape billing tooling and automation improvements.
- Apply payroll, tax, invoicing and accounts receivable (AR) rules correctly while identifying where process design breaks down.
- Build basic billing reports, including introductory SQL, and independently check data accuracy from T&A through to billing and payroll.
- Test billing automation and AI tools in production-like conditions, and tell genuine defects apart from user error.
- Maintain QA gates for owned billing workflows, including client setup and rate-card accuracy, pre-issue invoice checks, and adjustment and credit-note checks, so known defects don't reach clients or the ledger.
- Onboard and mentor associates while they ramp up, and guide short-term overflow help during invoice runs and month-end so the team's output stays reliable.
- Share discrepancy findings with Credit Control, Payroll, Finance, Revenue/Account Management and Operations early enough to prevent handoff failures.
- Support internal and external auditors with process walkthroughs and queries.
- Support the finance team with month-end reporting and reconciliation.
- Relevant accounting or billing experience, including owning complex billing adjustments or reconciliations.
- Part qualified or finalist of professional exams (CPA or equivalent).
- Strong working knowledge of invoicing, rate and tax (including VAT) rules, and how they apply to staffing or high-volume billing.
- Advanced Excel / Google Sheets skills (pivot tables, lookups, reconciliations).
- Working knowledge of SQL (introductory level), or a clear willingness to learn it quickly.
- Experience with finance and CRM systems such as NetSuite and Salesforce.
- Structured problem-solving: able to trace discrepancies to their root cause and document control gaps clearly for non-finance audiences.
- Comfortable testing automations and AI tools, and writing clear defect reports and requirements.
- Experience onboarding, mentoring or coaching peers.
- Strong attention to detail and numeracy; a self-starter who works well under pressure.
- Strong communication skills with internal partners, clients and auditors.
- Highly organised, with strong prioritisation skills across both operational and analytical work.
- £42,000 to £52,000 salary per annum
- Performance bonus
- 25 days holiday + Duvet days
- Free lunch in office
- Cycle to work scheme
- Pension
- Private Medical Healthcare
- Dental Plan
- Discounted gym membership
- Day off on your birthday
- Perkbox - discounts and goodies on some of your favourite brands
